JOB OVERVIEW

Intake Processing:

- Monitor Transaction Coordinator email for incoming new contracts and process them on the same business day (or the following business day if received after 4:00 PM).
- Under the direction of the company Transaction Coordinator, review executed Texas Real Estate contracts, addenda, and amendments for compliance with TREC regulations.
- Examine contracts for accuracy, completeness, and compliance, reporting any non-compliance to the Manager via the designated system.
- Update task lists in company systems to align with contract details, ensuring a seamless transition for the Transaction Coordinator team.
- Review the Transaction Summary for accuracy, make necessary corrections, and notify the team upon completion.
- Submit executed contracts, addenda, and amendments to the Agent-Client compliance platform and save the files to the TC's electronic system.

Compliance Processing:

- Ensure executed contracts, addenda, and amendments are submitted to the Agent-Client compliance platform within three (3) business days of execution.
- Ensure all files meet broker requirements as outlined in the TC Software task list.
Present non-compliant files to the transaction manager at least five (5) calendar days before the deadline, including a detailed summary of requirements and actions taken.

Qualifications:
- Real estate compliance experience required (experience in TX is a plus).
- Familiarity with transaction management and understanding of TREC regulations.
- Ability to work independently, take initiative, and make confident decisions.
- Strong organizational skills and a detail-oriented mindset.
- Proactive in suggesting process improvements.
- Must uphold high standards of work ethics and integrity.
- Hands-on experience with TCdocs is a plus. If not, the ability to learn new systems quickly is required.
- Extreme Attention to Detail: Ability to identify even small discrepancies in contracts, dates, and tasks to ensure smooth transaction processes.
- Strong Time Management: Ability to prioritize tasks effectively, especially when managing multiple transactions simultaneously.
- Problem-Solving Skills: A proactive approach to identifying and resolving issues, especially in situations requiring compliance corrections or quick action.
- Communication: Clear and concise written communication for email and reporting tasks.
