Virtual Assistant Position at Coastal Accommodations
Company: Coastal Accommodations Location: Virginia Beach, VA Industry: Short-Term Rentals / Property Management

About Us: Coastal Accommodations is a vibrant, local property management company specializing in short-term rentals. Currently, we manage 29 vacation homes, providing guests with the ultimate beach town Virginia Beach experience. We take immense pride in our work and have fun doing it! Our daily operations cover a wide array of responsibilities including:

Housekeeping oversight and management

Linen rental coordination

House operations and logistics

Guest and reservation management | Customer service

Maintenance and contractor management

Homeowner accounting and bookkeeping

Listing optimization and marketing

The Role: We are looking for a dynamic and tech-savvy Virtual Assistant to join our team. The ideal candidate will assist Sheppard, the owner, with operational, administrative, light bookkeeping, and marketing tasks, allowing her to focus on business growth and strategy.

Key Responsibilities:

Foundational Knowledge:

Platform Expertise:
Comprehensive understanding of how to navigate and manage listings on major short-term rental platforms (Airbnb, VRBO, Booking.com) including listing creation, pricing strategies, calendar management, guest communication features, and review management.
Learn about platform policies and guidelines related to guest interactions, cancellations, and disputes.

Customer Service:
Effective communication skills for interacting with guests via email, messaging platforms
Techniques for providing prompt and professional responses to guest inquiries, addressing concerns, and resolving issues.

Local Regulations:
Awareness of local laws and ordinances governing short-term rentals, including licensing requirements, occupancy limits, and noise restrictions. Help docusign coordination for permit renewals (annual process).

Technical Skills:
Property Management Software:
Proficiency in using Streamline VRS to manage bookings, guest data, cleaning schedules, and communication.
RevMax proficiency for reports, pricing strategy, revenue pacing details and market insight

Basic IT Skills:
Familiarity with online calendars, spreadsheets, and document management systems for organization and task tracking.
Help with processes on the operational side - organizing maintenance spreadsheet for status updates as an example

Operational Skills:
Listing Optimization:
Creating compelling property descriptions, professional photography, and accurate listing details to attract guests.
Understanding search engine optimization (SEO) techniques to improve listing visibility.
Improve SEO (add tags on gallery and such) within Streamline
On the website (CMS ICND)

Guest Communication:
Ensure all guests receive their check in details one week prior to arrival
Answer any high level questions

Pricing Strategies:
Understanding factors influencing pricing such as seasonality, demand, competition, and local market trends.
Keep a tally on local events, mainly music festivals, sports events and marathons!
Accounting and General Bookkeeping:

Learn How To:
Apply Wholesale Payments
Reconcile in Streamline
Revise reservations for extensions, cancellations, decreased nights stay requests, long term cleaning fees, pet fees, tax versus non-taxable, owned linens versus rentals

Tighten and manage expense reports:
maintenance expenses
owner-related expenses

Ongoing education - Streamline University available always

Familiarity with the following platforms:
