Job Title: Shipping/Logistics Assistant
Location: Work from home
Department: Customer Service
Reports To: Customer Service Manager
Position Overview:
The Shipping /Logistics Assistant is responsible for managing the procurement process and
overseeing shipping operations to ensure timely and cost-effective delivery of products. This role
involves coordinating with suppliers, negotiating contracts, and maintaining inventory levels while
ensuring compliance with company policies and industry regulations. The ideal candidate will have
strong analytical skills, attention to detail, and the ability to manage multiple priorities.
Key Responsibilities:
Provide vendors with shipping instructions including mode of shipment, chosen agent or
courier and ship to address information.
Submit shipping documents & customs paperwork to the corresponding freight agent,
customs broker and warehouse operations team.
Create a distribution list of all inbound items for processing at our warehouse.
Ensure that shipped quantities match with our purchase orders and validate any
discrepancies with our vendors.
Ensure each order has been approved and cleared by the accounting team and sales team.
Create shipping labels and shipping instructions on outbound orders for our warehouse
operations team.
Schedule courier pickups for our warehouse operations teams on all outbound orders.
Seek cost-effective shipping solutions, negotiate rates with freight agents, and maintain
shipping cost records.
Update order shipment status provide tracking information in our internal software
solutions
Resolve any shipping-related issues including customs clearance, missing boxes, and
wrong-delivered boxes promptly.
Qualifications:
Proven experience in managing shipping logistics, including handling shipping labels and
coordinating shipments.
Expertise in purchasing from overseas vendors, ensuring timely delivery and cost-effective
procurement.
Strong attention to detail and organizational skills to manage multiple shipments and
vendor relationships simultaneously.
Excellent communication skills to liaise with international vendors, shipping companies,
and internal teams effectively.
Must have experience navigating through different systems, with familiarity in ShipStation,
DecoNetwork, Zoho WorkDrive, and Monday-com being advantageous.
Ability to work independently and collaboratively in a fast-paced environment.
