About the Role
We are seeking a highly skilled and data-driven Senior Operations Manager with a legal background and a strong foundation in operational management, data analytics, and process optimization. This role is instrumental in driving efficiency, ensuring compliance, and leveraging data-driven insights to enhance the firm’s legal operations. The ideal candidate will have a keen analytical mindset, extensive experience in legal operations, and the ability to implement strategic improvements based on empirical data.
Key Responsibilities
Data Analytics & Operational Insights
Collect, analyze, and interpret operational data from multiple sources, including case management systems, client records, FileVine, productivity tools, and performance metrics.
Utilize advanced data analytics techniques to identify trends, operational bottlenecks, and areas for improvement.
Develop predictive models and data-driven strategies to enhance operational decision-making.
Create, maintain, and refine performance dashboards to provide real-time insights into key operational metrics.
Present findings, visualized reports, and strategic recommendations to senior leadership.
Process Optimization & Implementation
Conduct in-depth assessments of existing workflows and legal processes to identify inefficiencies and implement enhancements.
Collaborate with cross-functional teams to design and execute process improvements with a data-centric approach.
Lead automation and workflow optimization initiatives to enhance productivity and reduce manual inefficiencies.
Develop standardized operational frameworks to ensure consistency across the organization.
Conduct training sessions for staff on new tools, procedures, and best practices.
Compliance & Risk Management
Ensure adherence to internal policies, legal regulations, and industry standards through rigorous compliance monitoring.
Conduct detailed audits and risk assessments to identify compliance gaps and recommend corrective actions.
Maintain meticulous records of audit findings, compliance reports, and resolution strategies.
Oversee implementation of regulatory updates and ensure firm-wide adherence to legal best practices.
Strategic Project Management
Lead high-impact process improvement projects on a quarterly basis, ensuring alignment with organizational goals.
Define project scope, set objectives, allocate resources, and establish clear milestones.
Utilize data analytics tools to track project progress and measure the impact of implemented changes.
Coordinate communication across departments to ensure smooth execution of operational initiatives.
Continuously evaluate project outcomes and refine strategies for enhanced efficiency.
Performance Reporting & Stakeholder Communication
Develop comprehensive weekly, monthly, and quarterly reports detailing operational performance, compliance trends, and data-driven insights.
Use advanced data visualization techniques to simplify complex operational findings for senior management.
Act as a key liaison between departments to ensure alignment on strategic initiatives.
Drive a culture of continuous improvement through proactive engagement with stakeholders.
Bonus Audit & KPI Monitoring
Conduct audits to verify accuracy in bonus calculations and adherence to established performance criteria.
Monitor key performance indicators (KPIs) related to legal operations, compliance, and efficiency metrics.
Identify discrepancies in KPI performance, providing actionable recommendations to optimize firm-wide productivity.
Qualifications & Experience
Juris Doctor (JD) or equivalent law degree; must be a licensed attorney.
7+ years of experience in legal operations, compliance, process improvement, or data-driven decision-making.
Proven expertise in data analytics, statistical modeling, and performance reporting within legal operations.
Strong proficiency in legal tech tools, case management systems (FileVine, Clio, or similar), workflow automation, and business intelligence platforms.
Demonstrated ability to lead data-backed process improvements and implement automation strategies.
Exceptional communication, leadership, and problem-solving skills with the ability to translate complex data insights into actionable strategies.
Experience managing cross-functional projects with a focus on efficiency and compliance.
Preferred Skills
Advanced knowledge of SQL, Python, or data visualization tools (Tableau, Power BI, Looker).
Certification in Lean Six Sigma, Project Management (PMP), or Business Process Management (BPM).
Background in corporate legal operations, litigation management, or legal data science.
Familiarity with predictive analytics and AI-driven process automation.
