About the Role
We are seeking a highly motivated, organised, and tech-savvy Executive Assistant to support a dynamic team of consultants. The role will involve coordinating various aspects of client work, managing schedules, and providing operational support to ensure the smooth functioning of the team. Key Responsibilities

Priority Tasks:
Arranging & Liaising:
Coordinate and manage travel, venues, and logistics for the team.
Ensure seamless planning and execution of team-related activities.

Schedule Management:
Support the team of consultants by managing and coordinating their calendars, scheduling meetings, client calls, and other appointments.
Ensure that team members are prepared and on time for meetings and events.

Client Work Coordination:
Assist in coordinating the various phases of client work (discovery, design, drafting notes, reports, and client communications).
Track progress and ensure smooth communication with clients and the team.

Administer Surveys & Assessments:
Oversee the administration of client surveys, assessments, and psychometric tools (Strengths, DiSC, etc.).
Ensure timely follow-up and completion of assessments.

Operations Support:
Provide overall administrative support, including managing emails, taking meeting notes, and organising important documents.
Maintain effective communication across the team, ensuring that all operations run smoothly.

Secondary Tasks:
Tech-Savvy Support:
Be comfortable with various business applications, particularly Microsoft 365, to enhance the efficiency of operations.

Graphic Design and Content Editing:
Support the team with visual content creation, including the use of InDesign, Canva, and PowerPoint for marketing, presentations, and sales decks.

Industry Knowledge (Nice to Have):
Ideally, bring knowledge of the Australian consulting and professional services industry to the table.
While not mandatory, familiarity with this industry will help to quickly adapt to the team's operations and client work.


Other Responsibilities
Make necessary process suggestions and improvements which can help the team.
Contributes to team effort by accomplishing related results as needed.
Perform other related tasks and duties that may be assigned by the client later on.

About You
5+ years of experience in an Executive Assistant role, preferably within the Australian (Melbourne) market.
Strong written and verbal communication skills with an ability to communicate clearly and professionally with both internal teams and clients.
Proficient in using Xero, Zoho, and Microsoft 365.
Comfortable with business apps and tools for scheduling, communication, and project management.
Self-motivated and able to work autonomously while also being a collaborative team player.
Ideally, has familiarity with the Australian consulting and professional services industry (though not mandatory).
Strong visual design skills with experience in graphic design tools like InDesign, Canva, and PowerPoint for presentations and marketing materials
