Job Overview: Executive Virtual Assistant – Sales and Process Optimization
We are seeking an Executive Virtual Assistant with a passion for AI and prompt engineering. The ideal candidate will not only assist with managing sales-related tasks and follow-ups but also play a critical role in using AI to optimize processes. You will work closely with the CEO to refine internal systems and create efficient workflows using AI-powered tools.
Key Responsibilities:
Sales Support: Manage CRM entries, track follow-ups, schedule reminders, and draft sales-related
Process Documentation: Develop and document internal SOPs with a focus on sales and client management processes.
AI and Prompt Engineering: Use AI tools to improve your workflow, generate insights, and assist the CEO in refining business processes. Enthusiastically explore new ways to prompt and use AI to enhance decision-making and operational efficiency.
Training Materials: Assist in creating training manuals and structured learning materials for advisors, integrating AI to streamline content creation.
Creative Problem Solving: Act as a thought partner to the CEO, contributing innovative ideas, refining processes, and improving overall efficiency through AI-driven solutions.
Administrative Tasks: Schedule meetings, organize notes after calls, and ensure sales follow-ups are tracked and executed.
Process Improvement: Continuously analyze and optimize internal systems, using AI to identify areas for improvement and implement changes.
Requirements:
Detail-Oriented and Proactive: Ability to manage complex tasks and anticipate needs without waiting for direction.
Sales and CRM Experience: Familiarity with sales processes, CRM management, and client follow-ups.
Process-Oriented Mindset: Strong skills in creating and documenting processes, especially related to sales and client service.
Experience with AI and Prompt Engineering: Hands-on experience with AI tools (e.g., GPT) and an enthusiasm for prompt engineering to optimize your workflow and support the team’s processes.
Tech-Savvy: Proficiency in virtual collaboration tools and software for task management, scheduling, and process documentation.
Strong Communication Skills: Ability to communicate clearly, both verbally and in writing, especially when drafting follow-up
Creative Problem Solving: Contribute ideas and act as a thought partner, constantly seeking ways to improve efficiency and communication using AI.
Preferred Qualifications:
Previous experience supporting executives or in a startup environment.
Experience in using AI to automate or improve business processes.
Strong understanding of prompt engineering and how to apply it to real-world scenarios.
Experience in managing or creating structured training materials.
