*About the role:*
We are looking for an experienced Virtual Assistant to provide administrative support to US-based doctors, nurses, or other healthcare professionals in their clinical practice.
As a Virtual Assistant, the Sales and Marketing role plays a crucial part in connecting the practice with its target audience, enhancing patient engagement, and driving growth. This role involves developing and executing strategies to promote the office’s services, build brand awareness, and attract new patients. By understanding patient needs and the competitive landscape, the Sales and Marketing professional works to improve patient acquisition, retention, and satisfaction.
Ultimately, you should be able to handle administrative tasks and deliver high-quality work under minimum supervision.
This is a full-time position, 30/40 hrs a week
The rate is $7 an hour or Php 45,000 to Php 61,000+ per month
*What We’re Looking For:*
- Experience in WordPress website management.
- Proficient in social media platforms and content creation
- Excellent phone etiquette and customer service skills.
- Strong attention to detail and organizational abilities.
- Background in marketing strategies and campaign implementation.
- Ability to multitask and manage time effectively.
- Strong communication skills (both written and verbal).
- Experience in handling patient data and maintaining privacy.
- Experience in US healthcare is a plus but is not required
- HIPAA Certification is a plus
- Proficient computer skills, including Microsoft Office Suite and/or G Suite and other technology tools
- Able to manage time effectively and efficiently
*What You’ll Be Doing:*
WordPress Website Management:
- Regularly update and manage content on WordPress websites to ensure all information is accurate, up-to-date, and engaging.
- Assist with the design, layout, and functionality of the website, ensuring it is user-friendly and visually appealing.
- Troubleshoot and resolve any issues related to the WordPress platform, collaborating with technical support if needed.
Social Media Management:
- Develop, schedule, and post content on social media platforms
- Create compelling and creative content tailored to each social media platform to increase audience interaction and brand awareness.
- Monitor and respond to comments and messages in a timely, professional manner to foster positive relationships with followers.
- Track social media trends and adjust strategies to improve engagement and reach.
Phone Call Management:
- Answer incoming phone calls promptly and professionally, addressing inquiries, providing information, and assisting patients as needed.
- Direct calls to the appropriate department or personnel and take accurate messages when necessary.
- Provide exceptional customer service through effective phone communication, ensuring a positive experience for patients.
Form Assistance:
- Assist patients in accurately filling out forms, ensuring all information is complete and correct.
- Ensure patient details are entered accurately into the system and review for completeness before submission.
- Provide clarification or guidance to patients regarding form details, ensuring they understand what is required.
Database Management:
- Enter, update, and maintain accurate patient data in the database, ensuring all records are current and well-organized.
- Regularly audit the database for accuracy, completeness, and compliance with privacy standards.
- Handle patient data confidentially, adhering to HIPAA or other relevant privacy regulations.
Communication Skills:
- Communicate effectively with patients, ensuring clear and concise information delivery via phone,
- Write professional, error-free content for social media posts, website updates, and patient communications.
- Display excellent interpersonal skills, fostering a welcoming and supportive environment for patients.
Attention to Detail:
- Maintain high standards of organization when managing patient forms, data, and marketing materials.
- Ensure all forms, patient details, and marketing content are checked for accuracy and completeness.
- Demonstrate a keen eye for detail in all aspects of work, from patient interactions to content creation.
Marketing and Campaign Management:
- Assist in developing and executing marketing campaigns aimed at attracting new patients and retaining current ones.
- Create promotional content for social media,
- Monitor and analyze campaign performance, adjusting strategies as necessary to meet marketing goals.
Multitasking:
- Effectively manage multiple tasks and responsibilities in a fast-paced environment, ensuring all deadlines are met.
- Prioritize tasks based on urgency and importance, balancing patient care duties, website updates, and marketing initiatives.
- Adapt to changes in workload and responsibilities, maintaining a calm and professional demeanor.
