Your Role: Consultative Project Management Meets Sales Excellence

At Offshore Launch, we don’t just thrive in chaos—we manage it with excellence. We’re looking for a tech-savvy, sales-driven, and highly organized Sales Admin who can take a fast-moving sales environment and turn it into a smooth, well-oiled machine. You’ll partner directly with our Founder, playing a critical role in organizing the sales process, managing the pipeline, and ensuring nothing slips through the cracks.

Manage each prospect in HubSpot like a project:
We’re looking for a Sales Admin who can channel a project management mindset to manage the chaos of a fast-moving sales environment, ensuring that every touchpoint feels strategic, consultative, and purposeful. You’ll be the glue between prospects, the sales process, and our internal team.

You’ll split your work into two modes: **Project Formation** (aligning stakeholders, clarifying goals, and setting foundations for deals) and **Project Management** (tracking progress against key milestones and driving forward action). This structured approach will ensure every lead becomes a well-managed opportunity.

What You’ll Do:

- Sales Proposal Architect: You’ll listen to client conversations and synthesize their needs into powerful, precise proposals. These proposals will set the stage for smooth sales and seamless client onboarding. These proposals are more than documents—they are the foundation of success for a long-term client.
- CRM Commander: You live and breathe HubSpot, managing incoming leads, tracking conversations, and ensuring nothing falls through the cracks. You bring order and structure to every interaction, keeping the sales process tight. HubSpot will be your playground. Keep everything organized, follow up methodically, and manage touch points with clarity.
- Task Manager: You’ll help our Founder, who thrives in a fast-paced environment, stay on track by managing follow-ups, tracking client progress through the pipeline, and ensuring deadlines are met.
- Communication Expert: You’ll transform scattered voice notes, emails, and conversations into clear, compelling communications that drive clients to close. You know how to craft the right message at the right time.
- Sales Process Optimizer: You’re always thinking about how to make things smoother, faster, and better. Whether it’s setting up automations in HubSpot or streamlining processes, you’re always improving.
- Milestone & Value-Driven Follow-ups: Every follow-up is an opportunity to add value, and will include a progress update with next steps. You will listen and re-listen to call recordings, comb through deal records and prospect websites, to ensure that our prospects gain value in every touchpoint and always know where they stand and what’s coming next.
- Daily Reporting: Provide daily reports that offer insight into sales pipeline status, bottlenecks, and recommendations for keeping the momentum strong, and where prospects need extra attention.

Requirements:

- 7+ years of experience in administrative or virtual assistant roles, particularly in sales.
- HubSpot proficiency is required.
- A consultative mindset with strong project management capabilities.
- You can handle the chaos of a busy sales pipeline with grace, turning potential confusion into clarity.
- Extraordinary written and verbal communication skills.
- A problem-solver who’s always thinking a step ahead and implements process improvements.
- You take ownership of your role, with high integrity and the confidence to provide honest feedback.
- Ability to manage multiple tasks and high-pressure deadlines with ease.

Compensation & Benefits:

- Competitive base salary of $1200 (depending on experience).
- $50 per closed contract.
- Recurring commission of $5/month per closed contract.
- 13th month pay.
