Job Overview: We are seeking a highly organized and proactive Rockstar Administrative Assistant to join our growing team. This position is crucial for ensuring the smooth operation of our daily activities and supporting the director in managing time and priorities effectively. The ideal candidate will be a self-starter with excellent communication skills and a passion for helping others succeed. You will have a daily check-in with the directly and your performance will be reviewed through a weekly scorecard. Currently there is one weekly team call, and you will need to have 1x one-on-one check-in with certain tea
Responsibilities:
Calendar Management:
Schedule and manage appointments, meetings, and events.
Ensure the director's calendar is up-to-date and optimized for productivity.
Provide agendas ahead of every meeting and distribute to-do’s after every call.
Inbox Management:
Monitor and respond to
Categorize and prioritize
Documentation and SOP Creation:
Document processes and create Standard Operating Procedures (SOPs) for various tasks.
Maintain and update the SOP manual as needed.
Proactively seek out opportunities to improve the business.
Administrative Support:
Handle phone calls, messages, and other communications on social channels.
Organize and maintain files and records.
Prepare reports, presentations, and correspondence.
Task Management:
Assist with project management tasks and track progress.
Coordinate with other tea
Communicate with clients to take feedback and reach successful outcome.
Personal Assistance:
Assist with personal tasks as needed to support the director's work-life balance.
Qualifications:
Experience:
Preferably three years of experience as an Administrative Assistant or in a similar role.

Experience in print design, website management, marketing is a plus.
Skills:
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Proficient in Microsoft Office / Google Suite, Basecamp or other PM software, experience in Adobe Creative Suite a plus.

Working hours can be flexible as long as you can cover most of the US 9am-5pm Eastern time zone.
