Job Title: Remote Virtual Assistant – Short-Term Property Rentals
Location: Remote (Hours are mainly UK Time Zone )
Company Overview:
We are a leading property rental company specialising in short-term rentals in the Thanet area of Kent, UK. Committed to delivering exceptional guest experiences, we manage a portfolio of properties listed across various Online Travel Agencies (OTAs) and require a dedicated virtual assistant to support our operations remotely.
Job Description:
We are seeking a highly organised and proactive Virtual Assistant with a strong background in hospitality and property management. The ideal candidate will possess experience with OTAs like Airbnb and Booking.com, as well as proficiency in channel management and bookkeeping software. This role demands excellent communication skills, attention to detail, and the ability to handle multiple tasks efficiently.
Key Responsibilities:
• Booking Management:
o Update spreadsheets with new and existing bookings.
o Regularly check and update listings on OTAs (Airbnb, Booking.com).
o Update property information and availability on OTAs.
• Property Management:
o Update and manage property management software.
o Communicate with cleaners regarding property setup and scheduling.
o Schedule maintenance reminders and ensure compliance documents are up to date.
o Create guest check-in codes and manage digital access systems.
• Guest Relations:
o Handle out-of-hours queries and provide timely responses.
o Manage guest reviews and feedback across platforms.
o Create and update guest manuals and digital guidebooks, including Airbnb guidebooks.
o Collect and manage guest IDs and deposits.
• Financial Management:
o Perform Xero reconciliations and invoicing.
o Update business transaction sheets.
o Assist with basic bookkeeping tasks.
o Updating rental payments
• Administrative Tasks:
o Create and update Standard Operating Procedures (SOPs).
o Update company website with current information.
o Manage compliance documents and ensure all records are up to date.
• Marketing and Sales:
o Manage social media accounts to promote properties.
o Assist in marketing campaigns via email and mailers.
o Encourage direct bookings through follow-up emails and incentive programs.
Qualifications and Skills:
o Proven experience with OTAs, specifically Airbnb and Booking.com.
o Background in hospitality or property management.
o Experience with channel manager software, preferably Hostfully.
o Proficiency in Xero accounting software and basic bookkeeping.
o Excellent command of English, both written and verbal.
o Strong organisational and multitasking abilities.
o Proficient in Microsoft Office Suite and Google Workspace.
o Familiarity with social media platforms for business purposes.
o Customer service-oriented with excellent communication skills.
• Other Requirements:
o Ability to work flexible hours, including handling out-of-hours queries.
o Reliable internet connection and a suitable home office setup.
o Self-motivated and able to work independently with minimal supervision.
