JOB OVERVIEW

Summary
The ABA Case Manager and Administrative Assistant will play a dual role in ensuring smooth operations at Challenge ABA. This individual will oversee client case management while supporting the COO with administrative and operational tasks. The ideal candidate is smart, detail-oriented, highly proficient in English, and has experience in the ABA or healthcare field.

Key Responsibilities
Case Management
1. Client Coordination
o Serve as the primary contact for clients and families, guiding them through the intake, treatment, and ongoing care process.
o Collaborate with BCBAs to develop and update individualized treatment plans.
o Monitor client progress and communicate updates to families and staff.
2. Documentation and Compliance
o Ensure accurate and timely documentation of treatment plans, progress notes, and other required records.
o Maintain compliance with HIPAA regulations and other legal requirements.
o Prepare and manage documentation for audits and program accreditation.
3. Scheduling
o Coordinate and manage client and therapist schedules.
o Address scheduling conflicts or cancellations promptly and efficiently.
4. Family Support
o Provide education and resources to families regarding ABA therapy.
o Serve as an advocate for client needs within the organization.

Administrative Support to the COO
1. Operational Management
o Oversee daily operations, including office management, workflow coordination, and vendor communication.
o Assist in implementing policies, procedures, and systems for operational efficiency.
2. Administrative Tasks
o Manage the COO’s calendar, schedule meetings, and handle correspondence.
o Draft reports, presentations, and other documents as required.
o Handle internal and external communication on behalf of the COO.
3. Recruitment and Onboarding
o Assist in recruiting and onboarding Behavior Technicians (BTs), BCBAs, and other staff.
o Ensure proper documentation and training for new hires.
4. Process Development
o Support the COO in creating and refining operational processes, including onboarding packages, training materials, and compliance programs.

Qualifications
• Minimum of 2 years of experience in the ABA or healthcare field.
• Proven ability to manage administrative tasks and work in a fast-paced environment.
• Excellent written and verbal English communication skills.
• Proficiency in Microsoft Office Suite and case management software.
• Knowledge of HIPAA and healthcare compliance regulations.
Preferred Qualifications
• Experience with Applied Behavior Analysis (ABA) therapy.
• Familiarity with operational systems like practice management software and HR tools.
• RBT certification or other relevant training is a plus.
