POSITION: OFFSHORE ADMINISTRATIVE ASSISTANT

PURPOSE OF THE ROLE:
THE OFFSHORE ADMINISTRATIVE ASSISTANT PLAYS A KEY ROLE IN SUPPORTING DAILY BUSINESS OPERATIONS BY HANDLING OVERFLOW CALLS, MANAGING EMAILS, ASSISTING WITH SOCIAL MEDIA AND GRAPHIC DESIGN TASKS, AND ENSURING SEAMLESS COMMUNICATION BETWEEN CUSTOMERS AND INTERNAL TEAMS. THIS ROLE IS CRUCIAL IN DELIVERING A HIGH LEVEL OF CUSTOMER SERVICE, EFFICIENTLY MANAGING INQUIRIES, AND PROVIDING ADMINISTRATIVE SUPPORT TO OPTIMIZE WORKFLOW.

KEY RESPONSIBILITIES:
1. OVERFLOW CALL & CUSTOMER SERVICE MANAGEMENT
ANSWER AND MANAGE OVERFLOW CALLS, ENSURING TIMELY AND PROFESSIONAL RESPONSES.
ADDRESS SIMPLE INQUIRIES WITHIN A 30-SECOND TIMEFRAME OR TRANSFER CALLS TO THE APPROPRIATE DEPARTMENT.
TAKE DETAILED MESSAGES AND ESCALATE URGENT ISSUES TO THE RELEVANT TEAUpgrade to see actual infoMBERS OR LEADERSHIP.
HANDLE CUSTOMER CONCERNS WITH EMPATHY AND ESCALATE COMPLAINTS WHEN NECESSARY.
2. EMAIL & MESSAGE MANAGEMENT
MONITOR AND RESPOND TO INCOMING EMAILS, ENSURING TIMELY FOLLOW-UPS.
REDIRECT INQUIRIES TO THE CORRECT DEPARTMENTS OR TEAUpgrade to see actual infoMBERS AS NEEDED.
MAINTAIN A WELL-ORGANIZED EMAIL TRACKING SYSTEM FOR EFFICIENT COMMUNICATION.
3. ADMINISTRATIVE ASSISTANCE
ASSIST WITH BOOKING CONFIRMATIONS AND SCHEDULING TASKS.
PROVIDE CLERICAL SUPPORT, INCLUDING DATA ENTRY, DOCUMENT ORGANIZATION, AND REPORT PREPARATION.
CONTRIBUTE TO SPECIAL PROJECTS THAT ENHANCE BUSINESS OPERATIONS.
4. SOCIAL MEDIA & GRAPHIC DESIGN SUPPORT
ASSIST IN MANAGING AND SCHEDULING SOCIAL MEDIA POSTS ACROSS PLATFORMS.
RESPOND TO CUSTOMER INQUIRIES ON SOCIAL MEDIA IN A PROFESSIONAL AND TIMELY MANNER.
COLLABORATE WITH THE TEAM TO CREATE BASIC GRAPHIC DESIGNS FOR MARKETING MATERIALS, SOCIAL MEDIA, AND INTERNAL COMMUNICATIONS.
ENSURE BRANDING CONSISTENCY ACROSS DIGITAL CONTENT.
5. ISSUE RESOLUTION & ESCALATION
IDENTIFY AND RESOLVE MINOR CUSTOMER SERVICE CONCERNS EFFICIENTLY.
DOCUMENT AND ESCALATE COMPLEX ISSUES TO LEADERSHIP OR RELEVANT TEAMS FOR RESOLUTION.
