We are a fast-growing property management business based in Australia seeking a detail-oriented and proactive Real Estate Assistant to join our team. This role focuses entirely on streamlining the Business Development Manager’s workload by handling lead follow-ups, appraisals, reporting, data entry, and other essential administrative tasks, ensuring maximum efficiency in landlord acquisition.
Key Responsibilities:
1. Lead Management & Follow-ups:
- Respond to brochure requests and engage with leads, escalating serious conversations.
- Maintain CRM with lead status updates.
2. Rental Appraisals & Reporting:
- Create and send rental appraisals, including links to relevant Airbnb properties and an explanation of the calculation.
- Conduct research on properties and prepare appraisals for agent handoff.
- Compile weekly/monthly performance reports on KPIs like lead generation, landlord sign-ups, and appraisal success.
3. Data Entry:
- Perform accurate data entry for tools like RPData and ID4Me, ensuring confidentiality and precision.
4. Mailouts &
- Draft and submit
5. Social Media Management (Optional, with Marketing Experience):
- Manage company social media accounts, create content, and monitor trends to boost visibility.
6. Other Admin & Ad-Hoc Tasks:
- Assist with scheduling calls/meetings, support the BDM, and handle additional tasks as needed.
Qualifications:
- Real Estate Experience: In-depth knowledge of the Australian market, including expertise with RPData or conducting CMA (comparative market analysis)
- Minimum 2 years of experience as a VA or Admin Assistant in real estate, property management, or similar industries.
- Excellent English (both written and comprehension)
- Attention to Detail: Non-negotiable, especially for compliance documents.
- Proven ability in preparing appraisals, reports, and marketing mailouts.
- Skilled in using tools like Google Workspace, MS Excel, and CRM systems.
- Capable of analyzing property data from real estate platforms (e.g.,
- Highly detail-oriented, diligent, and able to work autonomously.
- Willingness to be monitored via TimeDoctor (screenshots are taken randomly to track time and performance)
- Strong, though not essential, experience in the short-term rental industry
- Experience in marketing, with focus on social media management is a plus
Work Schedule:
This role requires a commitment of 40 hours per week, 7am-3pm PHT Monday to Friday.
