We're looking for an experienced virtual assistant to help us manage our CRM, enhance our social media presence, and nurture client relationships.
Qualifications
Experience:
Proven expertise in database management, lead nurturing, and CRM systems.
Familiarity with Canva and proficient experience in creating different graphics or documents.
Skills:
Strong organizational and multitasking capabilities.
Proficiency in social media management and digital marketing tools.
Excellent verbal and written communication.
Appointment setting and client interaction experience.
Familiarity with SEO optimization and PPC campaign management.
Technical Proficiency:
Comfortable with remote work and self-management.
Skilled in tools such as Canva, MailChimp, Excel and similar platforms.
Reliable computer and high-speed internet.
Work Hours:
Availability during American Eastern Time (EST).
Responsibilities
1. Database Management
CRM Expertise: Proficiency in mail merge via CRM.
Communication Tools: SMS campaigns, voice broadcasts, and ringless voi
Lead Organization: Maintain and organize leads and customer records.
Data Integrity: Perform accurate data entry and regular updates in the CRM.
Reporting: Analyze database information and generate comprehensive reports.
System Integration: Add and integrate new data sources seamlessly into the CRM.
Calendar Oversight: Manage and synchronize calendars to avoid scheduling conflicts.
2. Social Media Assistance
Content Creation: Develop engaging, platform-specific content.
Account Management: Maintain a consistent presence across social media platforms (OMNI approach).
Google Management: Update and optimize Google Business Profile.
Advertising Support: Manage local service ads and target marketing campaigns.
SEO and PPC: Optimize local SEO strategies and oversee Google Pay-Per-Click (PPC) campaigns.
Graphic Design: Design and create banners to enhance engagement using Canva or similar tools.
Performance Analysis: Track social media metrics and performance analytics.
Email
Scheduling: Use platforms like Planoly, Hootsuite, or other social media scheduling tools.
3. Appointment Setting
Scheduling: Arrange appointments for sellers and buyers with provided scripts.
Communication: Confirm appointments via phone,
Calendar coordination: prevent scheduling conflicts across the buyer & seller booking
Lead Qualification: Gather essential information from potential clients.
Follow-Up: Ensure timely rescheduling and client communication.
CRM Updates: Log and update appointment details in the CRM.
Handover Management: Ensure smooth transitions to tea
4. Lead Nurturing
Client Engagement: Conduct warm and follow-up calls to nurture leads.
Relationship Building: Foster long-term client relationships and collect feedback.
Content Creation: Assist in creating weekly

System Requirements:
- Reliable high-speed laptop or desktop computer.
- DSL Internet connection with a minimum speed of 40+ Mbps.
- Noise-canceling headset.
- Must have a dedicated quiet home office setup

What We’re Not Looking For:
- Candidates who cannot commit to our specified working hours: Monday to Friday, 9 AM - 6 PM EST.
- Minimal Communication Skills: If you struggle with fluent English communication, both written and verbal.
- Lack of Self-Motivation and Enthusiasm.
- Candidates unfamiliar with CRMs and resistant to learning new systems or scripts.
- Candidates with inconsistent internet and power supply or a disruptive workspace.
- Candidates who are easily flustered, shy, or fearful when making calls.
- Offline or Non-Voice Preference: This is a phone-based position at times.
Pay Rate:
Starting up to $6/hr, with performance bonuses. Pay is issued on the 1st and 15th of each month (EST).
Working Hours:
Monday to Friday, 9 AM - 6 PM CST. A 30-minute lunch break and two 15-minute breaks per shift.
