Job Title: Executive Assistant / Transaction Coordinator (Part-Time to Full-Time, Intermediate+, Remote)
Position Overview:
KLOUD Realty Group is seeking a driven and detail-oriented Executive Assistant / Transaction Coordinator to join our team on a part-time basis, with the opportunity to transition to full-time as the business grows. The ideal candidate will have experience using Keller Williams' Command CRM and be proficient with social media management. As a core part of our mission control team, you will support our real estate operations and ensure exceptional client experiences.
Key Responsibilities:
- Transaction Coordination:
Manage the transaction process from contract to close, ensuring all documentation is accurate and deadlines are met. You'll coordinate communication between clients, agents, and service providers.
- CRM Management (Command):
Maintain and update the database using Keller Williams' Command platform, ensuring contact information is accurate, setting up automated follow-ups, and running regular reports for lead generation and client touchpoints.
- Client Communications:
Implement consistent communication plans during real estate transactions. You will be responsible for providing clients with timely updates, gathering feedback, and following up to request reviews and referrals.
- Social Media Management:
Assist with creating and posting social media content that aligns with our marketing strategy. You’ll support lead generation efforts through digital outreach and engagement with potential clients.
- Budgeting and Billing Support:
Assist with managing the team budget, including tracking expenses, reviewing financial reports, and ensuring accurate billing and payment processes.
30-60-90
30-Day Goals:
- Gain full familiarity with team systems, including Keller Williams' Command CRM.
- Begin managing new listings and offers with 80?curacy and independence.
- Implement a consistent daily and weekly schedule for transaction coordination and communication.
- Start handling social media posts and interactions with a clear content calendar.
60-Day Goals:
- Take ownership of our database communication plan, leveraging Command CRM to increase client engagement.
- Create and follow a social media schedule, promoting real estate listings and team events.
- Collaborate with the team to support client giveaways, events, and lead-generation campaigns.
90-Day Goals:
- Complete the Client Experience (CX) initiative, improving communication processes to drive client satisfaction and increase review and referral rates.
- Optimize our transaction coordination process, ensuring smooth transitions from contract to close.
- Develop and document systems and checklists to ensure consistency and efficiency across all tasks.
Qualifications:
- 1+ year(s) of experience in real estate operations, specifically with transaction coordination and CRM management.
- Proficiency in Keller Williams' Command CRM is required.
- Strong communication and organizational skills.
- Familiarity with social media platforms and digital marketing strategies.
- Ability to work independently in a remote environment.
- Tech-savvy, with experience using project management tools (e.g., Trello, Google Drive).
Working Hours:
This role will start as a part-time position (approximately 20 hours per week), with the potential to move to full-time as the business scales. You will need to have flexibility in your schedule to accommodate client needs and transaction deadlines.
Compensation:
Hourly rate based on experience, with potential for bonuses based on performance and business growth.
