Position: Real Estate Virtual Assistant

Get Ninja Inc. is a talent acquisition company dedicated to recruit, train and employ virtual assistants to real estate agents in Canada. We are seeking a motivated and organized Virtual Assistant to be a part of our company on a long term basis (minimum 2 years) and build a career as a virtual assistant.
Key Responsibilities:
Administrative Support:
Manage schedules, appointments, and calendar events for agents.
Organize and maintain client files and databases.
Prepare and send out contracts, agreements, and other documentation.
Client Communication:
Respond to client inquiries via phone,
Assist in coordinating showings, open houses, and client meetings.
Follow up with clients post-showing or post-transaction.
Marketing Assistance:
Help create and distribute marketing materials (flyers, brochures, social media posts).
Manage social media accounts and online listings.
Conduct market research to identify trends and potential leads.
Transaction Coordination:
Assist with the preparation of listing agreements and purchase contracts.
Track transaction progress and ensure timely completion of tasks.
Liaise with title companies, inspectors, and other third parties involved in transactions.
Data Management:
Maintain and update CRM systems with client information and property listings.
Generate reports on sales activities, market trends, and lead generation.
Qualifications:
Candidate must have minimum 2+ Years in Real Estate & Virtual Assistant or a similar role
Must be comfortable to work the night shift, from 9AM - 6PM (Toronto timezone EST) / 10PM-6AM PHT.
Exceptional organization and management skills.
Proficient in MS Office/Google Workspace, familiarity with ChatGPT, and ability to learn new softwares rapidly.
Excellent English communication skills, both written and spoken.
Ability to maintain a high level of integrity and discretion in handling confidential information.
Strong critical thinking and the ability to prioritize tasks.
Ability to type at least 40 words per minute with a high degree of accuracy.
Stable, fast, and reliable internet connection capable of supporting video/voice calls (At least 35mbps or higher)
