We are looking for a highly motivated and self-driven Real Estate VA Operations & Acquisitions Manager to lead our virtual assistant team and oversee operations and acquisitions processes. This individual will be expected to perform with minimal supervision and set clear goals and quotas to ensure optimal business growth and efficiency.
Position Overview:
The Real Estate VA Operations & Acquisitions Manager will be responsible for overseeing the daily operations of the business, managing the virtual assistant (VA) team, and leading property acquisitions efforts. This role requires a self-starter who can perform daily tasks independently, set and achieve goals, and track quotas for both team performance and business targets. As the key manager, you will ensure smooth operations, efficient lead management, and seamless property acquisitions to drive the company’s growth.
Key Responsibilities:
VA Operations Management:
Lead, manage, and mentor a team of virtual assistants responsible for various tasks such as lead generation, data entry, market research, client communications, and administrative support.
Create and implement systems and workflows for efficient task management, ensuring VAs meet daily targets and quotas.
Set clear goals and expectations for the VA team, monitoring their progress and performance to ensure all operational objectives are met.
Provide minimal supervision, taking ownership of the operational process and ensuring high levels of self-sufficiency and accountability from the VA team.
Develop training materials, provide regular feedback, and conduct performance evaluations to improve VA efficiency and effectiveness.
Implement automation tools to streamline administrative tasks, reporting, and lead generation.
Acquisitions Management:
Oversee and manage the property acquisition process, from sourcing and evaluating new deals to negotiating terms and finalizing contracts.
Work independently to identify potential deals, conduct market research, and assess the profitability of investment opportunities.
Coordinate with the VA team to ensure leads are tracked, qualified, and nurtured throughout the acquisition pipeline.
Analyze real estate investment opportunities based on financial metrics, market conditions, and company goals.
Build and maintain relationships with key stakeholders such as brokers, wholesalers, title companies, and sellers.
Manage the due diligence process to ensure all necessary inspections, appraisals, and legal requirements are met.
Lead Generation & Pipeline Management:
Manage the lead generation pipeline by overseeing the VA team’s efforts in generating and qualifying leads through various channels, such as online marketing, cold calling, and direct mail.
Set daily lead generation goals and quotas to ensure consistent flow of high-quality leads into the acquisition pipeline.
Ensure timely follow-up and conversion of leads into viable acquisition opportunities.
Track and report on lead metrics, including conversion rates, lead cost, and ROI, adjusting strategies as needed to meet set goals.
Process Optimization & Reporting:
Continuously evaluate and optimize internal processes to improve operational efficiency, with minimal supervision.
Develop and implement new tools, systems, and strategies to streamline lead generation, follow-up, and reporting processes.
Prepare and deliver regular performance reports on team activities, lead generation outcomes, acquisition progress, and operational efficiency.
Set specific daily, weekly, and monthly quotas and targets for both the VA team and acquisitions, tracking progress and ensuring these goals are met consistently.
Self-Sufficiency & Accountability:
Perform daily tasks with a high level of independence and initiative, ensuring goals and objectives are consistently met with minimal oversight.
Be proactive in identifying issues, solving problems, and improving processes without requiring significant direction from leadership.
Ensure that all tasks, projects, and goals are completed on time and to a high standard, with clear accountability for results.
Qualifications:
Experience: Proven experience in real estate acquisitions, deal sourcing, and managing virtual teams.
Self-Motivation: Ability to work independently with minimal supervision, taking ownership of daily tasks and driving results.
VA Team Management: Experience in managing virtual assistants or remote teams, including setting goals, providing feedback, and ensuring accountability.
Operational Skills: Strong background in process management, goal setting, and task prioritization.
Analytical Skills: Ability to evaluate real estate opportunities and assess financial metrics to determine investment viability.
Communication Skills: Excellent communication skills, both written and verbal, with the ability to interact effectively with remote teams, clients, and external partners.
Tech-Savvy: Proficiency in CRM software Go High Level, task management tools (e.g., Trello, Asana), and Microsoft Office Suite.
Organizational Skills: Strong organizational skills with a keen attention to detail and the ability to manage multiple tasks simultaneously.
Goal-Oriented: Ability to set, track, and achieve goals and quotas on a daily, weekly, and monthly basis.
Preferred Skills:
Experience in lead generation for real estate investment.
Familiarity with automation tools (e.g., Zapier) to streamline operations.
Understanding of real estate investment analysis and financial modeling.
Knowledge of real estate contracts and negotiations.
