Virtual Assistant for Real Estate Listing Coordinator and Marketing Specialist

Job Description:
We are a dynamic, client-focused real estate team seeking an organized and detail-oriented **full-time Virtual Assistant**. This role focuses on listing coordination and marketing support, ensuring smooth operations and exceptional service for our clients. You will be working US daytime hours, so excellent time management and availability are key. Responsibilities:

Pre-Listing Coordination:
- Add client and listing details to CTE tracker.
- Send listing concierge emails with client information, contractor referrals, and service details.
- Coordinate staging between stagers, rental companies, and sellers.
- Schedule photography and videography sessions with agents, stagers, and photographers.
- Create and add Flow Codes (QR Codes) to flyers using Canva.
- Input photos into MLS and Google Drive and review flyers for accuracy before ordering prints.
- Add video URLs to MLS and ensure all marketing materials are accurate.

Active Listings:
- Create and manage social media posts for Just Listed properties using pre-designed templates in Canva.
- Listing link sent to Open House Brokers
- Upload Listing Video to YouTube and post to Google My Business
- Reverse prospecting: Use MLS tools to create email campaigns and follow up with prospective buyers.
- Weekly Seller Updates: Prepare our email templates to provide sellers with detailed updates, including listing data and feedback from showings.
- Obtain feedback from showings, upload to ShowingTime, and share with the listing agent.

Pending Listings:
- Notify team members when a property is pending and update CTE and Sierra systems.
- Coordinate de-staging after inspection contingencies and optimize staging use for upcoming listings.
- Request and distribute home information sheets from sellers to buyer brokers.
- Coordinate client pending and closing gifts, including catered dinners, gift cards, or custom items, and document gifts in HubSpot.

Closing Tasks:
- Send one-month and one-year follow-up emails to clients.
- Create Just Sold social posts with interesting details like multiple offers or unique features.
- Order Just Closed postcards through Xpressdocs for neighborhoods we farm or nearby listings.

Marketing:
- Manage social media, including reel creation, video editing, and posting using Canva templates.
- Monitor and update Google Ads, Meta campaigns, and analytics, providing performance reports.
- Keep our CRM updated with the latest client interactions and data.
- Prepare and send monthly newsletters using HubSpot and Constant Contact, incorporating community news, featured listings, market updates, and maintenance tips.
- Update our farming postcards.
- Write and publish blogs on company websites and promote them via social media with captions and links.
- Write engaging captions for social media using property marketing remarks and ChatGPT.
- Post updates, reels, and open house announcements on Instagram and Facebook, sharing stories and highlights.
- Upload all videos to our YouTube channel, optimize them for SEO, and manage playlists.
- Update Google My Business page regularly with updates, photos, and events.
- Weekly property highlight posts, emphasizing unique features or wow factors.

Qualifications:
- 3 years experience as a Virtual Assistant, preferably in real estate or digital marketing.
- Proficiency with tools like Canva, HubSpot, MLS systems, Constant Contact, YouTube, Google Ads, Meta and other social media platforms.
- Strong organizational and communication skills.
- Ability to manage multiple tasks, meet deadlines, and pay close attention to detail.
- Experience with SEO optimization and analytics reporting is a plus.
