Are you a highly organized, detail-oriented individual with a passion for operational efficiency and supporting fast-paced real estate and short-term rental businesses? We are looking for a Virtual Real Estate Executive Assistant to join our dynamic team full-time. This role requires a proactive professional with a strong ability to manage platforms, handle client communications, and coordinate transactions seamlessly.
Key Responsibilities:
Short-Term Rental Management:
Manage Airbnb, VRBO, and other short-term rental platforms, including guest communication, calendar management, and optimizing listings.
Handle reservations, reviews, and ensure guest satisfaction.
Utilize Hostaway software for property management and operational efficiency.
Transaction & Client Coordination:
Assist in preparing real estate contracts and coordinating the signature process using digital tools.
Coordinate all aspects of real estate transactions from contract to close, ensuring deadlines are met and paperwork is accurate.
Maintain communication with clients, real estate agents, and other stakeholders to ensure a seamless transaction process.
Technology & CRM Management:
Manage client relations, workflows, and marketing campaigns through GoHighLevel.
Automate processes and streamline communication to enhance productivity.
Administrative Support:
Perform general administrative tasks, including scheduling,
Organize meetings, track project deadlines, and manage task prioritization for the executive team.
Accounting & Reporting:
Handle basic accounting tasks, including expense tracking, invoicing, and generating financial reports.
Maintain financial accuracy and compliance with deadlines.
Marketing & Social Media:
Assist with social media management and content creation to promote real estate services and short-term rental properties.

Key Qualifications:
Proficiency in GoHighLevel and Hostaway is required.
Extensive experience managing Airbnb, VRBO, and other short-term rental platforms.
Strong skills in transaction coordination, contract preparation, and managing client communications in real estate.
Accounting knowledge and the ability to generate and manage financial reports.
Exceptional written and verbal communication skills in English (A+++).
Highly organized and detail-oriented, with the ability to multitask and prioritize effectively.
Experience in real estate, short-term rental management, or a related field preferred.
