JOB OVERVIEW

We are seeking a detail-oriented and tech-savvy Real Estate Coordinator Virtual Assistant to support the fast-paced operations. This role is critical to streamlining our processes, enhancing client satisfaction, and maintaining the highest standards of professionalism. If you thrive in a dynamic environment, excel in multitasking, and have a flair for administrative, coordination, and creative tasks.

Key Responsibilities:

1. Listing Coordination
- Input and manage listing information and database updates.
- Coordinate with stagers, photographers, and other vendors to ensure timely listing preparation.
- Gather feedback on listings and compile client reports weekly.

2. Administrative Support
- Confirm and manage appointments for the team and clients.
- Maintain and organize database systems for efficient tracking and retrieval of information.
- Assist with assembling consultation materials for buyer and seller meetings.

3. Technical and Website Maintenance
- Oversee basic website upkeep and minor updates using tools like WordPress or Squarespace.
- Utilize tools like Zapier to improve workflow and automation.
- Suggest and implement tech solutions for streamlining processes.

4. Social Media Management (Occasional)
- Use Canva to create visually appealing posts for social media platforms.
- Post listings and updates on social media as needed.
- Ensure consistency in branding and messaging across all posts.

5. Transaction Management
- Assist in closing out files after transactions are completed.
- Support tasks related to system organization and client follow-ups.

6. Communication
- Liaise with clients and vendors to ensure smooth coordination and resolve scheduling conflicts.
- Respond promptly to emails and inquiries during agreed working hours.

Requirements:
- Strong organizational skills and keen attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with tools such as WordPress, Squarespace, Canva, and Zapier.
- Experience in real estate, transaction coordination, or a similar administrative role is a plus.
- Ability to manage multiple priorities and work independently in a fast-paced environment.
- Familiarity with social media platforms and branding best practices.
