JOB OVERVIEW

We are looking for a proactive, organized, and reliable Virtual Assistant to join our dynamic team. The ideal candidate will assist with various administrative tasks, ensuring smooth operations and allowing our team to focus on providing excellent service to our clients.

**Key Responsibilities: **

- **Transaction Management: **
- Prepare listing and buyer representation paperwork.
- Draft and send offers and documents to clients and agents for signatures.
- Coordinate transactions, serving as the primary contact for loan officers, buyer's and listing agents, and title companies.
- Conduct weekly check-ins with loan officers and title companies to ensure transactions are on track for closing.
- Update agents and clients on transaction status.
- Manage transaction documents in SkySlope.
- Ensure completion of office documents for commission purposes.

- **Client and Lead Management: **
- Manage and update the client database (CRM systems like KVCore).
- Track and submit earnest money.
- Request reviews from clients on Zillow and Google after closing.
- Manage client pipelines and follow up on leads.
- Perform cold calling to prospective clients.
- Send clients copies of documents and paperwork.

- **Administrative Support: **
- Manage and respond to emails, phone calls, and other communications.
- Manage calendars and coordinate meetings.
- Organize files in Google Drive and other platforms.
- Follow and update Excel checklists as needed.
- Process reimbursements and manage password security.

- **Marketing and Social Media: **
- Assist with social media management, content creation, and scheduling.
- Create and manage Facebook ads to promote listings and engage potential clients.
- Manage Google Business Profile to ensure accurate and up-to-date information.
- Design marketing materials using Canva, including flyers, postcards, and labels.
- Manage monthly newsletters and marketing reports.
- Add and edit listings in MLS, upload supplements, and manage showing instructions.

- **Financial Management: **
- Handle basic bookkeeping tasks, payment of invoices, and expense tracking.
- Prepare CRP tax forms and manage property tax payments for rental properties.

- **Research and Coordination: **
- Conduct market research and compile relevant data for reports.
- Find contractors and obtain bids for various tasks.
- Conduct research as needed to support team operations.

**Requirements: **
- Proven experience as a Virtual Assistant or in a similar administrative role.
- Excellent communication skills, both written and verbal.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Experience with CRM systems, specifically KVCore and CTMe contracts.
- Ability to follow and update Excel checklists as needed.
- Moderate knowledge of Canva for basic graphics editing.
- Ability to perform cold calling to prospective clients.
- Experience managing Facebook ads and Google Business Profile.
- Knowledge of Zapier for process automation.
- Knowledge of Slack for team communication and collaboration.
- Ability to use ChatGPT for drafting content and research assistance.
- Ability to work independently and meet deadlines.
- High level of professionalism and confidentiality.
- Flexible and adaptable to changing priorities.

**Preferred Qualifications: **
- Experience in the real estate industry.
- Knowledge of social media management tools and strategies.
- Basic bookkeeping knowledge.
