JOB OVERVIEW

We are seeking a highly organized, detail-oriented, and self-motivated Administrative Assistant to join our real estate company. In this role, you will be responsible for supporting the smooth operation of our real estate transactions and office functions, all from a remote location. Key Responsibilities:

CRM Management: Maintain and update client data in the CRM system, including leads, follow-ups, and expenses. Generate necessary reports and keep company records, files, and documentation organized.

Transaction Coordination: Prepare and organize closing documents for buyers and sellers. Communicate with title companies, lenders, and other stakeholders to ensure timely closings. Monitor deadlines and coordinate communication among all parties involved.

Administrative Support: Use Excel and other tools to create, update, and analyze spreadsheets for data tracking. Generate standard forms, contracts, and related documentation as needed.

Communication & Collaboration: Act as a primary contact for clients and internal teams, addressing basic inquiries or directing them appropriately. Work closely with team members to maintain smooth workflows and meet deadlines.

Process Improvement & Efficiency: Leverage ChatGPT and other AI tools to streamline tasks, handle routine inquiries, and solve problems. Proactively suggest and implement ideas to optimize administrative processes.

Qualifications:

Technical Proficiency:
-Experience with CRM systems (e.g., Salesforce, RESimpli, or similar).
-Proficiency in Microsoft Excel and Google Drive.
-Familiarity with AI-based tools (ChatGPT) is a plus.

Organizational Skills: Strong ability to organize and prioritize tasks, with excellent attention to detail.

Communication Skills: Excellent written and verbal communication, with a professional and friendly demeanor.

Self-Starter: Ability to work independently, manage time efficiently, and handle multiple projects in a remote setting.

Previous Real Estate experience is a plus, but not required. This is a full-time position - some overlap with U.S. business hours (9am-5pm EST) is preferred.
