About Us:
We are a dynamic and growing real estate team dedicated to providing exceptional service to our clients. To maintain and enhance our operations, we are seeking a skilled and motivated Virtual Assistant to join our team. This role is essential in ensuring smooth daily operations and supporting our efforts to grow our business.
Key Responsibilities:
CRM Management:


Update and manage the CRM system, ensuring leads are categorized and nurtured appropriately.
Track client communication and follow-ups.
Create email and text campaigns to reengage leads
Create follow-up systems for various types of leads including but not limited to leads moving from out of state, long-term nurture leads, past clients
Organize incoming leads by category (e.g., buyer, seller, investor) and track their status.
Identify and prioritize high-value opportunities.
Database Management:


Maintain and update client and lead databases with accurate and current information.
Organize data to ensure easy access for the agent.

Email
Management:


Monitor, sort, and respond to emails promptly.
Ensure important messages are flagged and addressed in a timely manner.
Daily Organization & Task Prioritization:


Assist in creating daily to-do lists for the realtor.
Ensure deadlines are met and priorities are clear.
Social Media Management:


Create, edit, and schedule engaging posts across various platforms (e.g., Facebook, Instagram, LinkedIn, TikTok).
Ability to repurpose content across social media platforms
Develop creative content, including graphics, captions, and stories, to increase engagement.
Monitor analytics and provide insights to improve performance.
Knowledge of Canva, Capcut, or other graphic design platforms
Knowledge of video editing softwares
Calendar Management:


Schedule appointments, property showings, and team meetings.
Coordinate availability and prevent scheduling conflicts..
Spreadsheet Management:


Create and maintain detailed spreadsheets to track closing progress, client pipelines, and transaction timelines as well as monitor GCI and realtor goals.
Qualifications:
Proven experience as a virtual assistant, preferably in real estate or a related field.
Strong knowledge of social media platforms and content creation tools.
Proficiency in CRM platforms (e.g., FollowUp Boss) and productivity tools (e.g., Gmail,Calendar, Google Docs, Google Sheets Microsoft Office).
Excellent organizational and multitasking skills.
High attention to detail and the ability to meet deadlines.
Strong written and verbal communication skills.
Self-starter with the ability to work independently.
Experience with graphic design tools like Canva or Adobe Creative Suite
