Job Overview:
We are seeking a highly organized, reliable, and proactive Property Management Virtual Assistant (VA) to support our property management team. This remote role involves handling various administrative tasks such as tenant communication, maintenance coordination, lease management, and general office duties. The ideal candidate will have prior experience in property management, excellent communication skills, and the ability to work independently while managing multiple tasks efficiently. This is a full-time position with working hours from 9:00 AM to 5:00 PM EST.
Key Responsibilities:
- Respond to tenant inquiries via
Schedule property viewings, inspections, and meetings.
Address tenant complaints, maintenance requests, and follow up to ensure resolution.
Maintenance Coordination:
- Manage incoming maintenance requests, assign contractors, and track completion.
Follow up with contractors and tenants to ensure quality service and timely resolution.
Keep detailed records of completed maintenance tasks.
Lease Administration:
- Prepare and send lease agreements, renewals, and necessary documentation.
Track lease expiration dates and follow up on lease renewals.
Assist with rent collection and ensure timely processing of payments.
Property Listings & Marketing:
Create and update property listings on various rental platforms (e.g., Zillow,
Coordinate virtual or in-person showings with prospective tenants.
Maintain accurate and up-to-date property information across marketing channels.
Financial & Administrative Support:
Process invoices, track property-related expenses, and assist with budgeting.
Organize and maintain property management software and documentation.
Assist in preparing financial reports for property management purposes.
General Administrative Support:
Schedule meetings, appointments, and property inspections.
Maintain records in property management software (e.g., AppFolio, Buildium, Yardi).
Perform other administrative duties as needed to support the property management team.
Skills and Qualifications:
Proven experience as a Virtual Assistant, Property Management Assistant, or in a similar administrative role.
-Familiarity with property management software specifically APPFOLIO is preferred.
-Strong communication skills (written and verbal).
-Excellent organizational skills and the ability to manage multiple tasks efficiently.
