Role: Property Management Specialist
Contract: Full-time Remote Contractor (44 hours weekly / 176 hours monthly)
Business Hours: Monday to Friday, 9 AM to 6 PM EST with 1 hr lunch break | Saturday, 9 AM to 1 PM EST
Rate: $1,200 USD monthly (Salary is negotiable based on experience and location)

What You'll Do:
As a Property Management Specialist, you will ensure smooth property operations by managing tenant relations, coordinating maintenance, tracking rent payments, and maintaining accurate financial records. Acting as the primary tenant contact, you'll address inquiries, resolve issues, and foster positive relationships. With expertise in property management, fluency in English and Spanish, and experience with CRM tools like Buildium, you'll handle lease management, vendor coordination, and financial reporting efficiently. Your strong organizational skills and focus on exceptional customer service will support seamless daily operations and collaboration with teams and vendors to achieve property management excellence. Your responsibilities will include:
Tenant Relations and Communication:
- Assist in onboarding tenants, lease renewals, and explaining property rules.
- Act as the primary point of contact for tenants, addressing inquiries, concerns, and complaints professionally and promptly.
- Manage and prioritize maintenance requests, coordinating with staff to ensure timely resolution.
- Foster positive tenant relationships by addressing their needs effectively.
Financial Management and Rent Collection:
- Handle rent payments, follow up on overdue accounts, and arrange payment plans when necessary.
- Maintain accurate financial records, including leases, receipts, and vendor payments, ensuring all transactions are updated in the CRM system.
- Assist in preparing monthly financial reports detailing rental income, expenses, and outstanding payments.
Vendor and Contractor Coordination:
- Coordinate with vendors and contractors for maintenance and services, ensuring quality, timely delivery, and adherence to budget.
- Review and approve invoices upon confirmation of satisfactory service.
Team and Maintenance Coordination:
- Collaborate with property management and maintenance teams to ensure smooth daily operations and clear communication.
- Oversee scheduling and completion of repairs, inspections, and preventive maintenance, ensuring issues are resolved within SLAs.
Lease Management and Property Marketing:
- Promote vacant properties with competitive listings and adjust marketing strategies based on market trends.
What You Should Have:
- At least three years of experience in positions such as Property Manager or other relevant roles.
- At least one year of experience in a global remote or virtual environment for a company in North America, Europe, Australia or the UAE.
- Proven experience in property management, tenant relations, and maintenance coordination.
- Fluent in both English and Spanish to handle tenant and vendor communications by phone and
- Demonstrated ability to provide exceptional customer service, handling tenants, vendors, and tea
- Highly organized in tracking rent payments, vendor deals, and property documentation.
- Skilled in prioritizing tasks, meeting deadlines, and ensuring prompt responses to maintenance requests and tenant inquiries.
- Experience with Buildium or similar CRMs and property management systems for managing payments, tenant records, and vendor details.
- Understanding of rent collection processes, financial reporting, and budgeting for property expenses.
- Outstanding organizational skills, excellent time management, and meticulous attention to detail.
- Ability to work closely with internal teams, vendors, and contractors to ensure smooth daily operations.
