We are looking for a highly organized and detail-oriented Property Management Bookkeeper/Accountant to join our team and ensure the accuracy of financial records and transactions.

Responsibilities:
Financial Management:
• Manage and reconcile financial accounts, including property owner accounts, security deposit accounts, and operating accounts, ensuring accuracy and compliance with regulations.
• Prepare and maintain accurate financial statements, balance sheets, and profit-and-loss statements for properties.
• Generate and send monthly owner statements and financial reports.
• Process tenant payments and reconcile rent roll records with deposits.
• Track expenses for maintenance and repairs, ensuring proper allocation to corresponding property owners.

Accounts Payable/Receivable:
• Process vendor invoices, ensure proper categorization, and schedule payments.
• Manage billing for maintenance and other services, ensuring all costs are accurately billed back to property owners.
• Follow up on outstanding receivables, including late rent payments, and escalate issues as necessary.
• Handle tenant move-out financials, including reconciling security deposits and charges.

Software and Systems:
• Utilize property management software, such as Buildium, to maintain financial records and ensure seamless integration with other departments.
• Work with accounting software (e.g., QuickBooks Online) for expense tracking, reconciliation, and reporting.
• Use Microsoft Excel and other tools to create detailed financial spreadsheets and analysis.

Compliance and Taxation:
• Ensure compliance with all local, state, and federal financial regulations related to property management.
• Collaborate with external CPAs and accountants to provide necessary documentation for tax preparation.
• Maintain meticulous records of tax-related transactions and vendor documentation (e.g., W-9s).

Coordination and Communication:
• Work closely with the Property Management and Maintenance teams to ensure accurate billing for repairs and projects.
• Communicate with property owners to address financial inquiries and provide timely updates on property finances.
• Support external auditors during audits by providing requested records and documentation.

Process Improvement:
• Identify inefficiencies in current financial processes and recommend improvements to enhance accuracy and efficiency.
• Implement best practices for financial reporting and expense management.

Qualifications:
• Experience: Minimum of 2 years in bookkeeping or accounting, preferably in property management or real estate.
• Education: Bachelor’s degree in accounting, finance, or a related field is preferred but not required.
• Technical Skills: Proficiency in Buildium, QuickBooks, and Microsoft Office Suite (especially Excel).
• Communication Skills: Strong verbal and written communication skills for working with team members, vendors, and property owners.
• Attention to Detail: Exceptional organizational skills and accuracy in financial reporting.
• Problem-Solving: Ability to troubleshoot discrepancies and propose effective solutions.
• Time Management: Capable of managing multiple priorities in a fast-paced environment while meeting deadlines.


Working Hours:
• Schedule: 9:00 A.M. to 6:00 P.M. CST, Monday through Friday. Occasional flexibility may be required to meet deadlines.
