Job Overview:
We are seeking a detail-oriented, organized, and proactive professional to join our team as a Property Management Bookkeeper, Executive Assistant, and Marketing Support Specialist. This multifaceted role combines financial management, administrative support, and marketing coordination to help our property management business thrive. The ideal candidate is highly skilled in bookkeeping, efficient in administrative tasks, and creative in implementing marketing strategies.
***Experience with Appfiolio, Buildium, Loopnet, MLS etc are a Big Plus***
Key Responsibilities
Property Management Bookkeeping:
Maintain accurate financial records, including accounts payable/receivable, payroll, and general ledger management.
Reconcile bank statements, credit card accounts, and monthly financial reports.
Prepare budgets, forecasts, and financial summaries for properties and management operations.
Track rent payments, manage delinquent accounts, and ensure timely collection.
Assist with tax preparation, compliance, and coordination with accountants.
Executive Assistant Duties:
Manage schedules, appointments, and correspondence for the leadership team.
Handle property-related documentation, contracts, and filing systems.
Coordinate meetings, prepare agendas, and take minutes when needed.
Act as the primary point of contact for internal and external communications.
Perform general office management tasks to ensure efficient daily operations.
Marketing Support:
Tech Savvy and ability to use AI is a plus
Create and manage marketing campaigns for property listings, promotions, and company branding.
Design content for social media platforms, newsletters, and
Update and maintain the company website, ensuring accurate and engaging content.
Analyze marketing metrics and prepare reports to evaluate campaign effectiveness.
Collaborate with vendors, photographers, and graphic designers to enhance marketing materials.
Qualifications:
Education: Bachelor’s degree in Accounting, Business Administration, Marketing, or a related field (preferred but not required).
Experience:
Minimum 3 years of experience in bookkeeping, administrative support, or property management.
Familiarity with property management software (e.g., AppFolio, Buildium) is a plus.
Proven track record of managing marketing campaigns and social media platforms.
Skills:
Strong proficiency in Appfolio, Buildium, QuickBooks, Excel, and other financial tools.
Excellent written and verbal communication skills.
Exceptional organizational and multitasking abilities.
Creative and analytical mindset for marketing tasks.
High attention to detail and accuracy in financial reporting.
Other: Ability to work independently and adapt to changing priorities.
