JOB OVERVIEW

The Property Contract Coordinator plays a pivotal role in managing the end-to-end client service journey post-property acquisition. This position requires strong organisational skills, an understanding of property contracts and key dates, and a focus on process optimisation to ensure seamless client service delivery. The role supports property transactions by managing critical dates, correspondence, task workflows, and ensuring compliance with established processes.

Key Responsibilities
Contract Management & Task Coordination
Review, manage, and document property contracts to ensure accuracy and compliance with key dates.
Maintain up-to-date task workflows using platforms such as ClickUp and AirTable for all stages of the property transaction process.
Ensure all contract-related key dates are tracked and updated in client management systems.
Collaborate with buyer's agents and internal teams to gather necessary data for contract processing.
Client Service Excellence
Act as the primary liaison for client queries and provide regular updates regarding property contracts and milestones.
Coordinate client correspondence, including automated email templates, and maintain a repository of communication records for transparency.
Proactively identify and address potential delays or issues in the property transaction process.
Systemization & Process Improvement
Develop, document, and update Standard Operating Procedures (SOPs) for all tasks and processes associated with the role.
Leverage tools like ClickUp’s AI and templates to streamline repetitive tasks and ensure consistency.
Implement scalable systems for managing increasing transaction volumes while maintaining accuracy.
Collaborate with the systems champion to identify process improvement opportunities and assist in documenting workflows.
Collaboration & Communication
Work closely with the Systems Champion and Client Success Manager to ensure processes are aligned with the overall business strategy.
Facilitate seamless handover of responsibilities to new hires by maintaining comprehensive process documentation.
Engage with cross-functional teams to ensure smooth execution of tasks outside critical client flows.
Qualifications
Experience & Skills
Strong familiarity with property contracts, key dates, and client service workflows.
Proficiency in project management tools such as ClickUp, AirTable, or similar platforms.
Excellent communication and organizational skills.
Ability to manage multiple tasks with high attention to detail.
Technical Skills
Familiarity with SOP creation and documentation tools (e.g., AI integrations in ClickUp).
Experience with email automation tools and integrating communication workflows.
Proficiency in Microsoft Office Suite and other collaboration tools (e.g., Google Workspace).
