Job Description: Project Coordinator Supervisor (Player-Coach Role) - for BUA Smarthands
Department: Operations
Location: Remote
Reports To: Operations Manager

Position Overview:
BUA is seeking a Project Coordinator Supervisor to join our Operations team. In this dynamic player-coach role, the selected candidate will not only oversee a team of Project Coordinators but also actively contribute to project coordination efforts. This dual-responsibility position is perfect for a leader who thrives on managing and mentoring a team while staying directly involved in the execution of projects.

While the technical work is executed by a team of fully certified, outsourced technicians, these professionals are seamlessly directed and managed by our Project Coordinators to ensure high-quality service delivery, adherence to project requirements, and exceptional customer satisfaction.

Duties and Responsibilities:

Project Coordination (Individual Contributor Duties):
• Maintain and monitor project plans, schedules, work hours, budgets, and expenditures.
• Actively coordinate and execute assigned projects to ensure timely delivery and adherence to established frameworks.
• Document and follow up on key actions and decisions from stakeholder meetings.
• Prepare and deliver presentation materials for meetings as required.
• Assess project risks and develop actionable solutions.
• Create and maintain project management calendars and ensure accurate project documentation.
• Finalize project deliverables, including invoicing and follow-ups on payments.
Team Leadership (Supervisor Duties):
• Lead and mentor a team of Project Coordinators, providing guidance and performance feedback.
• Foster a collaborative and positive team culture, setting clear expectations for performance and behavior.
• Allocate resources efficiently, managing workloads among team members while balancing individual contributions to project execution.
• Act as a liaison between upper management and the team, facilitating effective communication and conflict resolution.
• Support the Operations Manager by assuming managerial responsibilities when needed.
• Implement and enforce quality standards for team and project performance.
• Encourage innovation and continuous improvement within the team’s project coordination processes.
Operations and Client Interaction:
• Serve as a key point of contact for clients, addressing concerns and ensuring satisfaction.
• Build and maintain strong relationships with clients to enhance project outcomes.
• Actively promote BUA’s culture of teamwork, trust, and excellence in service delivery.
Quality Assurance and Reporting:
• Conduct reviews and audits to ensure adherence to established processes and quality standards.
• Generate reports on project status, resource utilization, and team performance for management review.

Job Qualifications:

Experience & Skills:
• Bachelor’s degree or equivalent experience in a related field.
• 3+ years of experience in project coordination, with proven supervisory or management experience.
• Proficiency in HubSpot, Excel, and G Suite products.
• Exceptional verbal, written, and presentation skills in natural US English.
• Strong IT and project management background.
• Ability to multitask, remain calm under pressure, and meet tight deadlines.
IT experience
Network cabling. Cat6 etc.
Level 1 tech experience
Understanding of networking, switching, cyber security.

Technical Requirements:
• Laptop/PC with:
Less than 3 years old
High definition web cam
• Stable internet connection with a reliable backup plan.
• Functional camera for virtual meetings.

Work Environment:
• Dedicated quiet, well-lit home office with a professional background.
• Dedicated workspace for uninterrupted operations during US daytime hours.
