Job Title : Production Coordinator

Hours : Monday to Friday, 9:00 AM to 6:00 PM EST
Pay rate : $800 to $1000/month

Position Overview:
The Production Coordinator plays a crucial role in ensuring smooth operations across various business processes. This position requires a highly organized individual who can manage multiple tasks, timelines, and priorities. The Production Coordinator acts as the administrative air traffic controller, coordinating between team members, vendors, and customers to deliver successful painting projects. Excellent communication skills—both written and verbal—are essential, as is the ability to work with different software tools.

Key Responsibilities:
Paint Day Scheduling
Confirm project scope, colors, and paint day with customers.
Coordinate the ordering of materials for each job.
Send out scheduled communication to customers ahead of paint day.
Schedule painting staff using When I Work software.
Job Costing
Track and assign paint and supply purchases to specific jobs.
Run labor reports and document labor costs in the project management tool.
Administrative Tasks
Field phone calls and emails related to customer requests.
Document and facilitate resolutions to customer complaints.
Follow up on old quotes and leads via phone or text.
Manage the purchase of uniforms, marketing materials, and other business support items.
Assist with booking travel for team members.
Perform data entry for incoming leads.
Send out new hire emails and complete data entry for new hires.
Manage vehicle documentation, including tags and insurance.
Handle other administrative duties as needed to support the business.

Required Skills & Experience:
Proficiency with Google Suite (Gmail, Google Docs, Drive, Sheets, etc.)
Experience with project management tools like Monday.com.
Familiarity with QuickBooks Online (QBO) and Salesforce.
Strong communication skills—phone, email, and text.
Ability to manage and prioritize multiple tasks effectively.
