We are hiring for the following positions:
Process Documentation and Engagement Specialist
What We Offer:

Salary: PHP 45,000 to PHP 60,000 – Depending on your experience!
Role Title: Process Documentation and Engagement Specialist
Reports To: Continuous Improvement Manager
Purpose of the Role:
To facilitate the creation, review, and documentation of business processes and policies through structured
engagement with committees of subject matter experts (SMEs). This role ensures processes are clearly documented,
mapped, and interconnected, creating engaging and user friendly materials for staff and stakeholders. The role also
supports process training, comprehension monitoring, and continuous improvement initiatives to enhance business
workflow
Key Responsibilities:
1. Process Facilitation and Documentation
- Facilitate structured reviews and process creation activities with SMEs and committees.
- Actively engage with SMEs to interpret feedback and clarify details through effective questioning.
- Document clear and concise processes and policies that are engaging, easy to reference, and
tailored to end-users.
- Create and maintain process maps to visually represent workflows, including interrelated process
across business functions.
2. Process Mapping and Workflow Integration
- Develop detailed process maps that illustrate workflows across the business, highlighting k
interdependencies and touchpoints.
- Ensure process maps accurately reflect both individual workflows and their integration into bro
business operations.
- Work with stakeholders to identify and document areas where workflows intersect, ensuring
seamless and cohesive documentation.

3. Content Development and Maintenance
- Develop high-quality, professional documentation for use in training, onboarding, and day-to-day
reference.
- Ensure documentation and process maps are kept up-to-date, reflective of current practices, a
accessible to all stakeholders.
- Ensure review and approval of documented changes by the process owners prior to issue.
4. Training and Comprehension Monitoring
- Support the rollout of processes by creating engaging training materials, including quizzes and
other tools for comprehension assessment.
- Monitor training completion rates and provide follow-up for areas where understanding has not
been achieved.
- Gather feedback from staff on the usability and clarity of documentation and process maps, making
necessary improvements.
5. Stakeholder Collaboration
- Work closely with SMEs across the business to ensure all perspectives are captured and accurately
represented.
- Facilitate collaboration between teams and departments to ensure interrelated workflows a
documented effectively and consistently.
- Build strong relationships with committees and stakeholders to foster a culture of collaboration and
shared ownership of processes.
6. Continuous Improvement
- Identify opportunities to improve the documentation process and the effectiveness of materials for
staff engagement and training.
- Suggest and implement enhancements to process mapping tools and workflows to improve overall
efficiency and alignment across the business
Key Skills and Attributes:
- Strong facilitation skills, with the ability to lead group discussions and extract valuable input from diverse
stakeholders.
- Expertise in process mapping and workflow analysis, with experience documenting interrelated process
across departments.
- Excellent written communication skills, with the ability to create clear, concise, and engaging documentation.
- Proficient in process mapping tools (e.g., Visio, L
- Strong attention to detail, with the ability to interpret and synthesise complex feedback into actionable
documentation and workflow
- Organised and able to manage multiple committees, deadlines, and priorities effectively.
- Strong interpersonal skills and the ability to build rapport with SMEs and stakeholders across all levels of the
business.
- Experience in developing training materials and monitoring comprehension is highly desirable.
Qualifications and Experience
- Previous experience in process documentation, process mapping, technical writing, or a similar role.
- Experience facilitating workshops, focus groups, or committee meetings.
- Familiarity with process improvement frameworks or methodologies is a plus.
- Experience using tools for process mapping, workflow design, and training development.
