Real Estate Virtual Assistant Opportunity

I’m looking for a detail-oriented, reliable Real Estate Virtual Assistant (VA) to assist with administrative tasks, client follow-ups, and social media management. This is for my real estate business in Miami, and it has the potential to turn into a long-term position for years to come. I am growing my business as an agent, and this role will play an essential part in that growth. Salary will 100% go up if work is great, and bonuses if doing amazing work!

What This Role Requires:

This role combines real estate virtual assistant skills with social media management, specifically Instagram posting and engagement. It’s important that you are skilled in both areas and can handle a mix of tasks efficiently.

Important Working Guidelines

All tasks are virtual and can be done via computer.
Client Communication Approval: You must have the ability to see and draft texts/emails using my current phone number or email, but no messages will be sent without my approval—especially in the first few weeks. We will work together, and I will provide guidance as we get comfortable.
Pre-Made Content & Systems: Most tasks already have pre-written drafts, templates, and structured processes. Your role is to apply, organize, and execute these tasks with my approval. Over time, this will become faster and easier.
ChatGPT is part of our workflow for refining communication. You should be comfortable using it to improve clarity and tone.
Clear and Simple Communication: I expect quick, organized updates and will be available via Zoom or phone check-ins as needed.
No voice support or cold calling needed at this time, but it may be added in the future.
Skills & Experience Required

? Real estate virtual assistant experience (or strong admin experience with a willingness to learn)
? Strong English writing and communication skills
? Social media management experience (Instagram posting, engagement, scheduling)
? Familiarity with CRM systems (or a willingness to learn)
? Ability to work with templates and follow structured processes
? Comfortable using AI tools like ChatGPT for refining communication

Key Responsibilities1. Client Follow-Ups & Communication

???? Draft follow-up texts/emails after client meetings, showings, or open houses.
???? Use pre-written templates for consistency and professionalism.
???? Follow structured weekly/monthly follow-up strategies (I will approve before anything is sent).
???? I will provide voice memos for custom messages as needed.

2. Social Media Management (Instagram & More)

???? Post on Instagram using pre-written captions and designed templates.
???? Engage with accounts (like, comment, respond to DMs).
???? Schedule posts and track performance metrics.
???? Assist with following key accounts and organizing engagement strategies.
???? Occasionally help with content organization and reposting listings.

3. Administrative & Real Estate Support

???? Manage my calendar, schedule meetings, and set reminders.
???? Organize documents, update CRM, and maintain accurate client records.
???? Add new leads to CRM and correctly label contacts.
???? Filter my email inbox to keep only important real estate-related emails visible.
???? Track deadlines for listings and contracts.
???? Create reports (weekly/monthly) for listings and client updates.
???? Upload new photos to MLS when needed.
