Job Overview:We are a fast-growing real estate and lifestyle company in Dubai seeking a highly efficient Personal Assistant / Virtual Assistant to remotely support our founder. This is a full-time remote role acting as the founder’s right hand – helping organize his day, streamline communications, and keep operations running smoothly. The ideal candidate is hyper-organized, proactive, and tech-savvy, with excellent English skills. You will manage inboxes and calendars, coordinate with our team, handle various administrative tasks, and even leverage AI tools like ChatGPT to draft emails and reports. Responsibilities:

Manage the founder’s email inbox and Slack/WhatsApp messages – prioritize inquiries, draft responses (using AI tools when appropriate), and achieve “inbox zero.”

Organize and maintain the founder’s calendar: schedule meetings, appointments, travel itineraries, and ensure there are no conflicts.

Coordinate communications between the founder and other teaUpgrade to see actual infombers or external partners, acting as a reliable bridge and relaying information or tasks promptly.

Track and follow up on ongoing tasks and projects to ensure nothing falls through the cracks – maintain to-do lists or project boards for the founder and gently remind about deadlines.

Handle general operations and admin duties as needed: from preparing reports or briefing documents, to assisting with event planning, VIP guest logistics, or research tasks.

Utilize Google Workspace (Gmail, Calendar, Drive, Docs) and other modern tools to create and organize documents, spreadsheets, and presentations.

Leverage AI tools (e.g. ChatGPT) to draft well-written emails, meeting notes, summaries, and other content quickly and accurately.

(Bonus) If familiar with Dubai real estate processes (DTCM permits, RERA regulations, Trakheesi listings), assist in tracking property listings and compliance tasks in coordination with our real estate team.

Qualifications:

2+ years of experience as a Personal Assistant, Executive Assistant, or similar administrative role – experience working directly with executives or founders is highly valued.

Fluent English skills (written and spoken) are required; excellent communication is a must.

Extremely organized and detail-oriented – able to manage complex schedules and high volumes of emails/messages with efficiency.

Proficient in Google Workspace (Gmail, Calendar, Docs, Sheets, Drive) and comfortable with collaboration tools like Slack and WhatsApp Business for team communication.

Experience using AI productivity tools such as ChatGPT to draft or refine content, or a strong willingness to learn and use these tools.

Tech-savvy and quick to learn new software or systems; you find ways to leverage technology to work smarter.

Able to work independently and proactively in a remote setting – you take initiative to solve problems and require little hand-holding.

Trustworthy, discreet, and able to handle confidential information with integrity.

Comfortable working in a fast-paced, sometimes high-pressure environment – able to adapt to changes, handle last-minute requests calmly, and still maintain a positive attitude.

Availability: Willing to align working hours partially with the Gulf Standard Time (UTC+4) workday to effectively communicate with the Dubai-based founder and team.

Tools & Software:

Google Workspace: Gmail for email management, Google Calendar for scheduling, Google Docs/Sheets for documentation.

Communication: Slack for teaUpgrade to see actual infossaging, WhatsApp Business for quick communications/voice notes with the founder or clients.

AI Tools: OpenAI’s ChatGPT or similar AI writing tools to help draft emails, summaries, and other content.

Project Management: Familiarity with task management tools (e.g. Trello, Asana, or Notion) to track tasks and projects.

Dubai Real Estate Systems (Bonus): Basic knowledge of DTCM (Dubai Tourism) portals, RERA online systems, or Trakheesi (for property listings) – note: this is a plus, not an absolute requirement, for candidates who have background in Dubai real estate.
