JOB OVERVIEW

As the Executive Assistant to the CEO, you will play a vital role in ensuring seamless operations through high-priority administrative functions. This includes accounting, bookkeeping, payroll, and data analysis, while providing executive support and driving process improvements to enable strategic decision-making.

Key Responsibilities:
Executive Support:
Manage and organize the CEO’s calendar, schedule meetings, and coordinate events and travel arrangements.
Act as the primary point of contact for internal and external stakeholders.
Handle confidential information with the utmost discretion.

Accounting & Bookkeeping:
Maintain accurate and timely financial records.
Support expense tracking, invoice processing, and account reconciliation.
Assist in preparing financial reports and budgets.

Payroll Administration:
Process payroll in collaboration with our payroll service provider.
Ensure accurate tracking of employee hours, PTO, and benefits.
Resolve payroll-related issues or discrepancies promptly.

Data Analysis & Reporting:
Compile, analyze, and present data to inform strategic decisions.
Prepare reports, dashboards, and visualizations to track company performance.
Provide actionable insights to support business development and operational improvements.

Operational Support:
Assist with special projects and research assignments.
Develop and implement process improvements to boost efficiency.
Serve as a liaison between departments to ensure effective communication and collaboration.

Qualifications:
Bachelor’s degree in Business Administration, Accounting, Finance, or a related field (or equivalent experience).
3+ years of experience as an Executive Assistant, with a focus on accounting, bookkeeping, and data analysis.
Proficiency in QuickBooks Online, Microsoft Excel, and data visualization tools.
Exceptional organizational, analytical, and problem-solving skills.
Strong attention to detail and the ability to multitask effectively.
Excellent verbal and written communication skills.
A proactive, solution-oriented mindset with the ability to work independently.

Preferred Qualifications:
Experience in the healthcare or recruiting industry is a plus.
Familiarity with payroll software and HR systems.
Ability to excel in a fast-paced, mission-driven environment.
