Job Title: Payroll/HR Assistant
Job Type: Full-Time, Remote

Job Overview:
We're looking for a highly organized and detail-oriented Payroll/HR Assistant to join our team. This
remote position will play a key role in managing payroll processes and HR-related administrative tasks for both
the administrative team and nursing staff. The ideal candidate must have experience handling large-scale payroll
operations, be comfortable working in a fast-paced environment and excel at multitasking while meeting tight
deadlines.
Key Responsibilities:
Payroll & HR Administration
- Process payroll for both administrative employees and nurses
- Perform monthly reconciliation of payroll reports
- Run ad-hoc payroll and HR reports as needed
- Ensure accurate and timely payroll processing while maintaining compliance with company policies and
relevant labor laws
Employee Onboarding & Offboarding
- Set up training for new nurses, including access to Slack, Collect, NOMAD MD, Paysheet, and When I
Work
- Manage the offboarding process, ensuring proper removal from all listed applications
- Maintain and clean up user access across multiple platforms, including Slack, When I Work, Collect, and
NOMAD MD
**Regular Tasks & Reporting**
Daily:
- Process payroll updates and employee changes
- Respond to payroll and HR-related inquiries from staff
- Monitor and maintain accurate employee records in HR/payroll systems
Weekly:
- Run payroll on a weekly basis
- Ensure payroll data is updated and prepared for processing
- Review timekeeping records for accuracy and compliance
- Assist with troubleshooting payroll and HR platform issues
Monthly:
- Reconcile payroll reports and ensure data accuracy
- Audit and clean up system access for employees
- Generate reports for finance and HR leadership as needed
Quarterly:
- Assist with compliance reporting and tax-related payroll tasks
- Conduct internal audits to ensure payroll accuracy and compliance
Requirements:
- Proven experience running large-scale payroll operations
- Ability to work PST hours
- Strong multitasking skills and ability to meet multiple deadlines.

- Proficiency in payroll and HR software tools, including Rippling and Gusto payroll software and When I
Work timekeeping system
- Excellent organizational and communication skills
- Comfortable using time tracker tools like Time Doctor
- Proficient on a computer and in Microsoft Office (Outlook, Word, Excel)
- High-quality noise-canceling headset
- High-speed internet (50+ Mbps) with backup internet
- High-speed computer with a working webcam also must have a backup computer
- A quiet working environment free of outside noise (cars, animals, others working)
