JOB OVERVIEW

About Us
VisitAssist is a voice-powered service that helps older adults and their families stay informed by transcribing and summarizing medical visits, ensuring clarity, trust, and follow-through. We bridge the gap between complex medical information and patient empowerment by providing real-time question prompting, easy-to-understand summaries, and post-visit support.

Role Summary
As we test VisitAssist with early users, we need a Patient Advocate / Medical Records Coordinator to help organize, review, and manage physical documentation that some users may provide. This role is ideal for someone who can handle messy, inconsistent medical records, streamline them for easy interpretation, and support families navigating fragmented healthcare documentation.

Responsibilities
Receive, organize, and review medical records from patients or family members participating in our beta
Identify and resolve formatting inconsistencies across different provider documents
Create structured, easy-to-digest summaries from large, complex medical record sets
Work with patients and caregivers to ensure their documentation is properly processed
Assist users with file naming, categorization, and prioritization of key medical records
Support families seeking second opinions, ensuring relevant information is easily accessible
Collaborate with the data and product teams to refine how VisitAssist processes user-provided documentation

Qualifications
Experience in medical records management, healthcare administration, patient care coordination or patient advocacy
Strong organizational skills, with an ability to handle and streamline large sets of medical documents
Understanding of HIPAA compliance and patient privacy protections
Familiarity with EHR systems, patient portals, and healthcare documentation workflows
Ability to work directly with patients and families in a supportive, patient-friendly manner

Ideal Candidate
Nursing degree or certification (e.g. RN)
Highly organized, able to turn messy records into clear, structured documentation
Patient and empathetic, able to assist caregivers managing overwhelming medical paperwork
Strong problem-solving skills to reduce redundancy and highlight critical medical details

Please put your name in the subject line and today’s date so I know you read this far :) Also let me know if you have any specific related experience! If you use Gen AI, I’d love to learn how you use it.
