JOB OVERVIEW

We are looking for a reliable, detail-oriented, and proactive Virtual Assistant to join our team on a part-time basis. This role will primarily focus on administrative tasks, with the opportunity to take on additional responsibilities as our business grows. We’re looking for someone who is fluent in English (both written and spoken), has strong organizational skills, and can work independently while adapting to the changing needs of our team.

Responsibilities:
• CRM Management: Learn and manage our CRM system (Jobber) to:
• Input clients and update project details
• Schedule jobs and send client quotes/invoices
• Draft and organize forms, templates, and reports
• Administrative Support:
• Organize receipts and track labor costs for accurate job costing
• Assist with tracking project profitability
• Follow up on permits, invoices, and contractor communications
• Conduct research for materials, parts, or projects as needed
• Data Entry and Organization:
• Retroactively organize and input receipts for previous projects
• Maintain accurate and up-to-date records for projects and clients
• Communication Support:
• Respond to voice messages and emails with clear and accurate updates
• Draft correspondence for client communication and project follow-ups
• Optional (Bonus Skills):
• Assist with video editing and content creation for company marketing
• Help organize and draft social media content or posts

Requirements:
• Fluent in English (written and spoken); must be able to follow verbal and written instructions
• Strong organizational and time-management skills
• Reliable computer and high-speed internet connection
• Comfortable learning new tools and software (training will be provided)
• Ability to critically think, problem-solve, and work collaboratively
• Professional and responsive communication

Preferred Qualifications:
• Experience with CRM systems (Jobber or similar)
• Background in construction, engineering, or related fields
• Skills in video editing or social media content creation

Work Environment:
