Brand Alchemy, a fast-growing personal branding agency, is seeking a meticulous and organized Part-Time Bookkeeper with a strong background in QuickBooks and payroll management to join our team. This role is essential for maintaining accurate financial records, processing payroll, and monitoring daily income to support our agency’s financial health and growth. Experience in working with a marketing company is a plus.
Key Responsibilities
1. Accrual-Based Accounting
- Properly recognize revenue and expenses on an accrual basis, ensuring they are allocated to the correct time periods.
- Split contract revenue and expenses over the appropriate timeframes to reflect accurate monthly profitability.
- Focus on delivering insights into profitability beyond just cash flow.
2. QuickBooks Setup and Management
- Set up and maintain accurate financial records in QuickBooks, ensuring compliance with company standards.
- Configure QuickBooks to handle a variety of contract payment terms (e.g., upfront, recurring monthly).
- Ensure all transactions exceeding $75 are accompanied by appropriate supporting documentation.
3. Payroll and Income Tracking
- Process payroll for inshore and offshore tea
- Monitor and log daily income, providing updated financial summaries.
4. End-of-Year Tax Preparation
- Prepare and compile year-end tax reports for contractors, ensuring compliance with regulatory requirements.
5. Streamlined Processes and Communication
- Design efficient workflows for financial tasks such as bill payments, invoice tracking, and reconciliations.
- Provide regular financial updates and serve as a responsive point of contact for financial inquiries.
- Potentially assist with online banking to simplify financial operations.
6. (Bonus) Financial Planning and Analysis (FP&A)
- Provide forecasting and budgeting support to help clarify profitability and runway.
- Offer strategic insights and potentially take on CFO-level advisory responsibilities as the business scales.
Qualifications
1. Required Skills and Experience
- Expertise in accrual-based accounting with a track record of accurately allocating revenue and expenses over time periods.
- Proficiency in QuickBooks, including setup, customization for contract payment terms, and ongoing management.
- Experience ensuring financial compliance and maintaining detailed documentation.
- Strong organizational and communication skills for streamlining processes and reporting.
- Part-time: 2 hours per day (flexible schedule, no specific time zone required).
2. Preferred Qualifications
- Experience providing financial planning and analysis (FP&A) support, including budgeting and forecasting.
- Understanding of profitability metrics and financial strategy for scaling businesses.
- Prior experience working with marketing or creative agencies is a plus.
