Job Summary:
We are seeking a highly organized and proactive Virtual Assistant to provide comprehensive administrative support to the Director of a Care Company. The ideal candidate will be detail-oriented, tech-savvy, and capable of managing multiple tasks efficiently while maintaining confidentiality and professionalism. This role involves handling administrative, operational, and communication tasks to enable the Director to focus on strategic growth and quality care services.
Key Responsibilities:
Administrative Support: Manage
Diary & Calendar Management: Coordinate appointments, travel arrangements, and event planning to optimize time management.
Document & Data Management: Maintain records, update databases, and ensure accurate filing of important documents.
Communication Management: Act as the first point of contact for internal and external communications, filtering inquiries and responding appropriately.
Operational Support: Assist with project coordination, policy updates, and compliance documentation related to the care sector.
HR & Recruitment Assistance: Support recruitment efforts by scheduling interviews, organizing employee records, and tracking compliance requirements.
Finance & Invoicing: Assist with basic financial tasks such as invoicing, expense tracking, and liaising with accounting teams.
Research & Reporting: Conduct research on industry trends, policy changes, and competitor analysis to support strategic decision-making.
Social Media & Marketing Assistance: Manage online presence, update websites, and assist with content creation for marketing materials.
Essential Skills & Qualifications:
Proven experience as a Virtual Assistant, Executive Assistant, or similar administrative role with evidence of previous work experience.
Strong organizational skills with the ability to multitask and prioritize effectively.
Excellent written and verbal communication skills with high proficiency in English.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Planner, Excel) and cloud-based tools (Google Workspace, Trello, Slack, etc.).
Understanding of the care sector, compliance requirements, and safeguarding regulations (preferred).
Ability to work independently with minimal supervision while maintaining high standards of confidentiality.
Tech-savvy with knowledge of online scheduling tools, CRM systems, and virtual communication platforms.
