Role: Operations & Marketing Assistant
Contract: Full-time Remote Contractor
- 20 hours weekly / 80 hours monthly during the first 90 days
- 40 hours weekly / 160 hours monthly after 90 days
Business Hours: Monday to Friday, 9 AM -5 PM PST
Rate: Part-time: $7 - $11 USD per hour / $560 - $880 monthly | Full-time: $7-$11 USD per hour / $1,120 - $1,760 monthly (Salary is negotiable based on experience and location)

What You'll Do:
As an Operations & Marketing Assistant, you will be crucial in supporting the marketing initiatives and operational efficiency. You will work closely with the team to manage client communication, lead generation, sales support, and operational tasks. Your responsibilities will span various domains, ensuring the smooth execution of marketing campaigns and operational processes.
Your responsibilities will include:
Operations & Administrative Support:
- Develop training materials to support onboarding and skill development.
- Maintain and update SOPs to reflect best practices.
- Oversee software and tools to streamline workflows and enhance productivity.
- Maintain organized
- Manage scheduling for meetings, events, and team activities.
Marketing & Sales Support:
- Manage and optimize
- Implement LinkedIn strategies to expand the professional network and generate business opportunities.
- Conduct online research using LinkedIn Navigator and other tools to identify target markets and potential leads.
- Maintain consistent follow-ups with leads and existing clients to build relationships and guide them through the sales funnel.
- Manage CRM tools to track interactions and ensure high customer retention.
- Assist in tracking, analyzing, and optimizing referral program performance. Provide administrative support to ensure a smooth execution of referral initiatives.
- Generate reports on sales and marketing performance, providing insights for strategy improvement.
- Create simple marketing visuals using Canva (e.g., infographics, posters) to support campaigns.
Finance & Bookkeeping Support
- Prepare and send accurate invoices and quotes, addressing inquiries or discrepancies.
- Maintain financial records, ensuring transactions are recorded and categorized correctly.
- Track and manage timesheets to ensure accurate payroll processing, resolving any discrepancies promptly.
What You Should Have
MUST HAVES:
- Minimum of three years of experience in Outbound Sales, Lead Generation, Lead Nurturing, and Operations.
- At least one year of experience working remotely with clients/companies from the US, UK, CA, and/or AU.
- Background in administration and operations assistance and project management.
- Experience with Google Suite (particularly Sheets and Gmail).
- Experience with tools like Asana, LinkedIn Navigator, Active Campaign, Wave, Quicken, Slack and Canva (preferably).
- High energy, a passion for interacting with people, and a commitment to caring for others.
- Proven and consistent track record of getting work done.
- Strong career drive and curiosity to learn.
- Excellent organizational skills and attention to detail.
- Excellent written and verbal English communication skills with a preference for a neutral North American accent.
- Ability to manage time effectively and meet deadlines.
NICE-TO-HAVES:
- An eye for graphic design and experience with Canva or similar tools.
- Experience in financial management and bookkeeping.
