JOB OVERVIEW

We are seeking a reliable, detail-oriented **Operations Manager** to support the day-to-day operations of a growing financial services group. This role will support a range of businesses operating under the same financial license. You will work closely with senior management to ensure smooth internal processes, adviser onboarding, document control, task tracking, and reporting. The ideal candidate is organised, dependable, proactive, and has strong communication skills.

### **Key Responsibilities**

- Assist with **onboarding and offboarding** of financial advisers, including document preparation and task tracking.
- Support **compliance processes**, including reviewing documents, tracking deadlines, and helping maintain internal records.
- Organise **meetings** (e.g. compliance and investment committees), take minutes, and follow up on action items.
- Maintain and update shared **folders, templates, and internal documentation**.
- Track team tasks, deadlines, and responsibilities using spreadsheets or task management tools.
- Prepare **monthly and quarterly reports**, summaries, or updates for management.
- Monitor training logs (CPD) and other records required under internal policies.
- Provide general **administrative support** to the leadership team across multiple business units.

### **Skills & Experience Required**

- At least 2–3 years of experience in **administration, operations, or project coordination**.
- Excellent written and spoken English communication skills.
- Strong attention to detail and ability to work independently.
- Comfortable working with confidential documents and following clear procedures.
- Able to manage multiple priorities and meet deadlines.

### **Preferred (but not essential):**

- Background or experience in **Compliance, financial services, insurance, accounting, or compliance**.
- Experience supporting Australian teams.
