Are you a people person with a knack for problem-solving?

We're seeking a dedicated and organized individual to join our growing team as an Operations & Administrative Assistant.

This position is responsible for providing daily administrative support to the operations department within a North American company for a speaker/trainer/coach in the executive coaching and professional development niche.

Primary responsibilities include:
- Providing support to the operations department for on-going administrative tasks
- Optimizing and managing membership site content
- Providing client support services across all communication channels
- Providing support to the operations department for one-time projects and tasks
- Engaging with social media comments and posts

This role is remote, but it is necessary to be online and active during Eastern Time Zone working hours Monday to Friday, Canadian statutory holidays excluded.

Training is provided during the initial 90-day probationary period, with the expectation that by the end of the 90 day period you will be thriving and fully independent in your responsibilities with minimal oversight.

Key Responsibilities:
1. Administrative Support
- Create summaries & timestamps of video recordings
- Manage and upload content to membership site
- Manage Zoom recordings and transcripts
- Assist with new and ongoing team projects
- Assist with other operational tasks as needed
- Participate in weekly team meetings
- Create chapters and optimize previous YouTube videos
- Prepare and schedule new videos for YouTube

2. Client Support Services
- Responding to customer support inquiries and messages via our email channels in a timely and professional manner
- Respond to leads, prospects, and client queries and requests via all communication channels
- Schedule calls on team members’ calendars
- Provide basic technical support for membership site
- Assist with payment reminders and coordinating with team members for updates
- Escalate complex inquiries to the right team member for response
- Assisting with tasks and activities that will support client success such as
- Onboarding and offboarding clients
- Manage Zoom registrations for live sessions
- Update customer information through our CRMs
- Assist our Sales Team with administrative tasks
- Maintain a positive and helpful attitude when interacting with our customers

3. Social Media Engagement
- Respond to social media messages and comments in a timely and professional manner
- Engage with leads and prospects on social media as part of new marketing initiatives
- Maintain a positive and helpful attitude when engaging and interacting with leads and prospects

Requirements:
- Detail-oriented with the ability to prioritize and switch between multiple tasks
- Be online and active during Eastern Time Zone working hours Mon to Fri
- Quick learner and able to adapt to new systems and processes
- Reliable, accountable, and demonstrates exceptional time management
- Excellent written and verbal communication skills in English
- Strong customer service skills and experience
- Proficiency with social media platforms
- Familiar with using AI tools
- Self-motivated and able to work both independently and collaboratively
- Professional attitude and presentation
- Helpful and supportive spirit
- Problem solver using data
- Ability to stay calm, focused and moving forward even under pressure
