Responsibilities:
= Operational Management: Oversee daily operational tasks to ensure smooth project workflows.
= Contract Handling: Draft, review, and issue service agreement contracts.
= Project Coordination: Assist in tracking project timelines, deliverables, and resources to ensure projects are on schedule
Financial Management:
- Assist in preparing invoices, tracking payments and reconciling expenses
- Manage and track refundable deposits for permits, ensuring compliance with city requirements.
- Client and Vendor Communication: Serve as a point of contact for clients and vendors, addressing inquiries and ensuring clear communication.
Permit and Compliance Coordination:
- Monitor permit statuses and coordinate required submissions.
- Handle refundable deposits related to permits, ensuring proper documentation and follow-ups.
- Documentation: Maintain organized records of contracts, invoices, and project-related documents.
Qualifications:
- Previous experience in an office or administrative role is preferred.
- Attention to detail, and a focus on time prioritization.
- Strong communication skills, both verbal and written, are essential for effective collaboration.
- Ability to prioritize tasks and manage time effectively in a busy environment.
- Experience with personal assistant duties or event planning will be beneficial.
