Position Overview

We’re seeking an Office Admin Manager who can serve as the central support for our team, a reliable point of contact for our directors, and a key contributor across our business functions. This role requires a proactive, organized all-rounder with experience in construction or related fields. You’ll manage accounts payable, provide crucial support to our leadership, and step in wherever needed, from project assistance to marketing. As an essential member of our team, you’ll play a part in shaping workflows and supporting smooth day-to-day operations.

This is a remote position for candidates in the Philippines, and fluency in English is essential. Mandarin skills are a bonus. We’re looking for someone who sees themselves as part of our team for the long term and is ready to grow with us.

Key Responsibilities

• Administrative Support: Act as the primary point of contact for company directors, managing day-to-day office tasks and providing personal assistant support.
• Accounts Payable: Oversee weekly accounts payable for both construction companies using Xero, ensuring timely and accurate payments.
• Project Support: Assist project teams with quote collection, material organization, budget tracking, and spreadsheet management.
• Communication: Liaise with subcontractors to support the Estimating team and coordinate project needs.
• Marketing Assistance: Support the Marketing Manager with social media posts, especially on LinkedIn, and potentially create reels or other content if skilled in this area.
• Document Management: Handle document production, extracting relevant information from construction plans such as schedules and timelines.
• System Implementation: Contribute to developing and refining our systems and workflows, especially in accounts payable and administrative management.

Preferred Skills and Experience

• Software Proficiency: A strong working knowledge of ClickUp for project management is highly advantageous. Familiarity with AI tools that enhance productivity, such as AI-based data processing or communication tools, will also be a big advantage.
• Education: A degree in Marketing, Project Management, Accounting, Business Management, or a related field.
• Industry Knowledge: Experience in the construction sector or familiarity with construction documentation is a plus but not essential.

Technical Skills:

• Xero for accounting
• Google Suite (especially Google Sheets and Docs)
• Communication Skills: Strong English language proficiency; Mandarin skills are a bonus.
• Detail-Oriented: Reliable and meticulous, especially with finance and document management.
• Adaptable: Ready to take on varied responsibilities and enjoy a dynamic role.
