Job Summary:
We are seeking a highly organized and tech-savvy Virtual Executive Assistant to support the owner of a diverse portfolio that includes a mortgage company, food brands, and commercial real estate ventures. This individual will play a critical role in ensuring the team operates efficiently by managing schedules, tracking KPIs, and implementing systems to improve productivity and organization. The ideal candidate has executive assistant experience, is highly adaptable to technology, and can confidently introduce tools like Asana and Slack to streamline workflows.
Responsibilities:
Scheduling & Calendar Management: Organize and manage Owner's calendar, coordinate with team members (Ken Kopp and Robin Henson), and ensure meetings and deadlines are met.
KPI Tracking: Develop, maintain, and report on Key Performance Indicators (KPIs) across all business lines.
System Implementation: Introduce and train the team on tools like Asana and Slack to improve task management and communication.
Client & Partner Support: Assist with correspondence and follow-ups with past clients, industry referral partners, and new prospects.
Event Coordination: Support planning and execution of events, including an AI-focused event for real estate professionals.
Project Management: Ensure all tasks and projects are on schedule, escalating any issues that could delay progress.
Administrative Support: Handle
Qualifications:
Proven experience as an Executive Assistant or Virtual Assistant, preferably in a fast-paced environment.
Strong organizational and time-management skills.
Proficiency in implementing and using tools like Asana, Slack, or similar project management software.
Excellent written and verbal communication skills.
Comfortable with basic AI tools and eager to learn.
Tech-savvy with a proactive attitude toward solving problems.
Knowledge of the real estate and mortgage industry is a plus.
