Mortgage Admin VA - AU Brokerage

We’re Rate Group, a Melbourne-based mortgage brokerage that helps homeowners and property investors secure the right finance, from application through to settlement. As our business grows, we’re looking for a dedicated Virtual Assistant to support our admin operations and client care.

JOB OVERVIEW:

We are looking for a Mortgage Admin VA to assist with post-approval and post-settlements admin, CRM management, and client file updates.

You’ll be responsible for:
- Preparing discharge authority forms and entering newly settled loan data into MyCRM
- Managing client check-ins at 1 month, 1 year, and 2 years post-settlement
- Reviewing loan documentation, tracking approvals, and progressing deals to settlement
- Setting up client profiles and calculating borrowing capacity based on income, assets, and liabilities
- Supporting internal team operations with a focus on accuracy and follow-through

TOOLS YOU'LL BE USING (Training provided where needed):

- MyCRM
- Broker Portals (CBA, NAB, Westpac, Bank of Melbourne, etc.)
- Quickli
- Google Workspace (Drive, Gmail, Sheets, Chat)
- Microsoft Office (Word, Excel, Outlook)

WHAT WE'RE LOOKING FOR:

1) Top 3 Non-Negotiable Skills:
- Strong written communication
- High attention to detail
- Reliable and available exclusively during set hours

2) Experience Level:
- Intermediate or above
- Mortgage broking or finance admin background preferred
- Experience working with Australian clients is a strong advantage

3) Key Soft Skills:
- Proactive and organised
- Fast learner with initiative
- Able to manage multiple client files and deadlines

4) Tech-Savvy?
- Yes – especially confident in CRM and cloud-based tools

SALARY & BENEFITS:

- Hourly Rate: $5 USD/hour (negotiable up to $7 based on experience)
- Payment Frequency: Fortnightly
- Payment Method: PayPal (we cover transaction fees)
