We're Hiring: Medical Virtual Assistant

Are you a detail-oriented and friendly professional with experience in the optometry field? We’re looking for a part-time Medical Virtual Assistant to join our team and help streamline our patient interactions and administrative tasks. This position has the potential to transition to full-time based on performance!

Work Time: 8:30 AM – 4:30 PM EST (USA)
Days: Monday - Friday (20-30 hours/week, specific times and days to be determined)
Salary: $5 - $6 per hour (depending on experience)

Key Responsibilities and Qualifications:

We are seeking a virtual assistant who is organized, proactive, and personable, with experience in the medical field. The ideal candidate will handle a variety of tasks, including:

1. Scribing during exams, must be able to actively listen and transcribe quickly and accurately via live audio/video link.
2. Scheduling appointments with correct time frames for optometry procedures using knowledge of optometry coding into electronic medical records
3. Verifying patient information and insurance details
4. Reactivating patients and managing treatment follow-ups to ensure outstanding treatment needs are met
5. Coordinating patient care, handling appointment reminders, and managing patient records
6. Managing calls, emails, and text communications, including sorting, responding, prioritizing, and sending newsletters
7. Proficiency in Excel and Google Sheets (basic data entry)
8. Fluency in English, both spoken and written, with strong communication skills
9. Positive attitude, friendly demeanor, and professional interaction with patients
10. Fast typing skills and comfort with computer-based programs
11. Acting as a virtual receptionist, managing patient inquiries, calls, and correspondence

12. Creating content in Cava, posting on social media

13. Creating word merge documents

This role is critical due to the immediate need for support following the departure of a team member, as well as to manage patient reactivations and missed opportunities.

Technical Requirements:

1. Reliable computer and internet connection (minimum 10 Mbps via cable modem, DSL/Fiber only)
2. Noise-canceling mic and headset, and a webcam
3. Quiet work environment, especially when on camera

4. Adobe and Word software program access

Additional Requirements:

1. Ability to submit NBI clearance
2. Submission of a short video introduction
3. Possession of a valid ID
4. No other clients during required work hours
5. Availability to meet required hours
6. Presence in a virtual video conference room (Zoom or Google Meet) during shifts
