Your Role

As an employee of Offshore Launch, you are being hired for a unique role within a target Client’s company. We value long-term partnerships, and seek to recruit talent that will serve an individual Client’s business for multiple years.

You will work full-time with the Client company. However, the Agency provides ongoing support to ensure your continued success. As such, we create space for ongoing check-ins, feedback and development through:

- Membership in the Offshore Launch Slack workspace
- Bi-weekly All Team meetings
- Monthly reviews

Since 2002, Austin Woman magazine has been the premier voice for women in Central Texas. We are passionate about celebrating and empowering the diverse women of Austin—from trailblazing entrepreneurs to artists, philanthropists, and community leaders.

As we continue to grow, we are seeking a highly organized and detail-oriented Marketing Operations Admin to support our dynamic team in streamlining processes, managing key marketing operations, and ensuring smooth day-to-day workflows.

This role is critical to maintaining the behind-the-scenes systems that allow Austin Woman to inspire and celebrate the incredible women in our community. If you are passionate about organization, efficient systems, and contributing to a mission-driven publication, we would love to hear from you!

Responsibilities:


Email
Management
- Sorting through hundreds of emails daily, including spam, to ensure important messages (like content submissions) are directed to the right team member.
- Filtering and organizing emails, trashing irrelevant ones, and assigning the rest to the correct person.
Connects Club Membership Management:
- Handling administrative tasks related to membership, such as adding new members to Mailchimp, sending out welcome emails, and maintaining member records.
Mailchimp & Email List Management:
- Organizing and updating email lists, managing newsletters, and ensuring that email campaigns run smoothly without overwhelming the internal team.
Google Drive Organization:
- Cleaning up and organizing years’ worth of data and files in Google Drive for better accessibility and efficiency.
Project Management for Production:
- Supporting the production side of the magazine, ensuring that ads and content are properly tracked and deadlines are met.
- Organizing backend tasks to support the production and marketing team, which helps reduce workload and missed deadlines.
CRM Management:
- Working in the MediaOS CRM to track what ads are missing or which clients need follow-up, helping the production manager keep everything organized.
Basic Social Media Support:
- Assisting with scheduling social media posts, while leaving content creation to the marketing team.
SOP Documentation:
- Documenting standard operating procedures (SOPs) for processes that are still being established, particularly for newer programs like the Connects Club.
General Administrative Support:
- Taking over various administrative tasks that currently overwhelm the small team, freeing up time for more critical projects.

Requirements:

- Marketing or Business degree or 3+ years equivalent experience.
- Experience managing high volumes of emails and prioritizing effectively.
- Proficiency with Mailchimp and CRM platforms for campaigns and workflow tracking.
- Strong organizational skills for file management in Google Drive.
- Experience documenting SOPs and improving processes.
- Project management experience, including tracking deliverables and meeting deadlines.
- Experience with social media scheduling tools.
- Proven ability to multitask and adapt to new systems quickly.
- Strong written and verbal communication skills.

Compensation & Benefits (to be provided by Offshore Launch):

- $800-$900 depending on experience
- 13th month pay
- Performance-based bonuses
- Comprehensive HMO policy, including dependents.
