Job Type: Part-Time (20 hours/week) Flexible hours, primarily within US business hours; occasional responsiveness during evenings may be benecial.
Key Requirements
• Legal Knowledge: Experience in or familiarity with real estate transactions, estate planning, or legal administrative work preferred.
• Software Prociency: Competence in legal management software (e.g., SmokeBall, Clio, or similar), MS Word, and document organization tools. Familiarity with Wealth Counsel for estate planning is a plus.
• Attention to Detail: Ability to manage client les meticulously, ensuring all deadlines and processes are adhered to.
Process Optimization: Ability to identify and suggest improvements for current workows and procedures.
• Time Management: Capable of handling multiple tasks, meeting deadlines, and managing shifting priorities eciently.
• Communication Skills: Excellent written and verbal communication skills, including the ability to draft professional client-facing documents and manage correspondence
Roles and Responsibilities
? Real Estate Transaction Support:
? Manage intake for real estate contracts, including gathering data from assessors' and treasurers' websites and organizing documents in SmokeBall.
? Draft and nalize attorney review letters and manage relevant contract deadlines.
? Coordinate client communication regarding inspection reports and other critical details.
? Update contract deadlines and milestones using tools like Folio by Amitree.
? Estate Planning Assistance:
? Gather client information and input it into Wealth Counsel.
? Assemble estate planning documents and coordinate reviews for nalization.
? Administrative and Billing Tasks:
? Manage
? Assist with billing and time tracking within SmokeBall, including rening time logs.
? Create llable PDFs and other professional client forms as needed.
? Process and Procedure Development:
? Analyze current workows and propose improvements to enhance eciency.
? Assist in documenting and rening internal processes for scalability.
? Client Interaction:
? Facilitate clear and professional communication with clients to ensure a seamless client experience.
Preferred Skills & Experience
• Prior experience in a legal setting, particularly transactional law, is highly desirable.
• Familiarity with creating, organizing, and managing legal documents and workows.
• Knowledge of PDF creation and form design, including llable documents.
• Prociency in QuickBooks or similar accounting software is a bonus.
