JOB OVERVIEW

POSITION SUMMARY
We seek a highly efficient Inventory and Order Management Specialist to join our growing team. This position is vital in optimizing inventory control procedures, aligning daily deliveries with the company’s Key Performance Indicators (KPI), reconciling inventories with shipments, ensuring product stock is adequate for all distribution channels, and supporting the company’s goal of delivering orders to our customers on a timely manner.


OBJECTIVES
- Manage product inventory daily to efficiently perform the following:
* Purchase order management
* Sales order fulfillment
* Process returns management
- Monitor customer database to retrieve necessary customer information, inventory information, and purchase order status
- Manage and finalize purchase orders, update customer databases and inventory management systems daily
- Create invoices and collect payment from the customer via email or phone call within the specified timeframe set by the management
- Monitor and track orders daily via delivery software (i.e Shipstation)
- Manage inventory levels and actively notify supervisors of potential issues, shortages, overstock, and upcoming orders that will affect inventory
- Record daily deliverables and manage Service Level Agreement (SLA) through proper metrics
- Align expectations based on the company’s Key Performance Indicators (KPI)

COMPETENCIES
- Skilled in managing customer databases and company databases (i.e systems, reports, data points) through proper data and records management
- Experience in working with computers and different fulfillment software programs (i.e Cin7 Core, Shipstation, Netsuite, SAP, Microsoft Dynamics)
- Has the initiative to prioritize and plan work activities, use time efficiently, and set daily goals and objectives
- Experience in managing and aligning performance to the company’s Key Performance Indicators (KPI)
- Ability to adapt to changes in the work environment and manage competing demands
- Highly skilled in fulfilling and documenting orders systemically in an efficient and timely manner
- Possesses excellent organizational skills and ability to pay strong attention to detail
- Demonstrates excellent verbal and written communication skills including active listening
- Possesses strong interpersonal and communication skills along with strong analytical skills
- Has a strong background in working in a collaborative team environment

EDUCATION AND EXPERIENCE
- Bachelor’s degree in Business Administration or related area of study, or equivalent work experience
- 4+ years of work experience in management, operations preferably related to Inventory, Order Fulfillment, and Payment collection services
- Substantial experience with customer relationship management (CRM) software (e.g., HubSpot), project management software (e.g., Asana), and Google Workspace.
- Substantial experience with E-commerce such as Shopify, Ebay, Google, and Amazon marketplaces
- Experience in managing system integration projects or tasks is a plus but not required
